The Administrative Support I collects, reviews and analyzes data, and prepares reports, charts, budgets and other presentation materials. Provides administrative support in a variety of functions to an individual, team, department, or other group in an organization. Being an Administrative Support I schedules and coordinates meetings, travel, and other group activities. Responds to or routes routine inquiries from external or internal sources with standard correspondence or other messaging. In addition, Administrative Support I has basic word processing, spreadsheet and graphics software skills. Requires a high school diploma. Typically reports to a supervisor or manager. Being an Administrative Support I possesses a moderate understanding of general aspects of the job. Works under the close direction of senior personnel in the functional area. May require 0-1 year of general work experience.

Responsibilities:

  • Reception: answering phones, directing calls;
  • Data entry of information into a SharePoint database or applicable tracker;
  • Reviewing scanned files for legibility and completion and making appropriate corrections;
  • Scanning documentation and drawings;
  • Providing support;
  • Other duties as required;
  • Scanning;

  • Conduct quality review checks of deliverables received from third party vendors and consultants;
  • Support Epidemiologists and Project Managers with additional related tasks as needed (i.e. literature searches, archiving, audit preparation);
  • Maintain and communicate project timelines and status reports with internal project team members, vendors, and external consultants;
  • Serve as primary contact and resource for all training activities;
  • Submit studies for approval including internal health plan, Institutional Review Board and National Death Index;
  • Organize, maintain, handle, and archive sensitive and protected information;
  • Coordinate and attend team meetings; draft, distribute, and finalize team meeting minutes.

Requirements:

  • Good verbal and written communication skills;
  • Working knowledge of Outlook, Microsoft Word and Excel;
  • Provide exceptional customer service;
  • Must have a driver’s license or reliable transportation;
  • Ability to work independently and autonomously with little day-to-day manager oversight;
  • Discretion with sensitive material and communications;
  • Must be able to work a flexible schedule when needed (Nights/Weekends/Holidays);
  • Must be able to work in a fast paced environment;
  • Strong organizational and problem-solving skills;
  • 1-2 years experience typing and other Microsoft Office Products;
  • High school diploma and a minimum of three years of general office experience;
  • Ability to communicate effectively both in oral and written format;
  • 5-7 years- experience in an increasingly responsible administrative support role;
  • Ability to manage multiple and competing priorities;
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat.
