Our company is looking for a Bookkeeper / Administrative Assistant to join our team.

Responsibilities:

  • Create and update records and databases with personnel and financial data;
  • Process and maintain residential and commercial leases;
  • Provide staff and external party operational support including word processing, filing, photocopying, document assembly;
  • Assist colleagues when necessary;
  • Bank statement reconciliation, vending operation reconciliations, payroll processing;
  • Supervise administrative staff and divide responsibilities to ensure performance;
  • Track inventory of office supplies and re-stock when necessary;
  • Process construction documents including subcontractor agreements, lien waivers, COI requirements;
  • Manage agendas/travel arrangements/appointments etc. for the upper management;
  • Assist with budgeting and bookkeeping procedures;
  • Manage phone calls and correspondence of upper management (e-mail, letters, packages etc.);
  • Delegate office activities and operations to ensure efficiency and compliance with company policy;
  • Process Accounts Payable and Accounts Receivable.

Requirements:

  • Ability wot work well with all levels of management and staff;
  • Organizational and planning skills;
  • Highly motivated and mature;
  • Outstanding organizational and leadership skills;
  • Sensitivity to confidential matters/reports/material may be required;
  • Microsoft Office including Excel/Work;
  • Excellent written and verbal skills/etiquette;
  • Proven experience as an office administrator , office assistant or other similar and relevant role;
  • Education: Bachelor’s Degree preferred;
  • Minimum 5 years’ experience as an Office Manager or similar role;
  • Excellent communication and interpersonal abilities;
  • QuickBooks;
  • Excellent knowledge of MS Office and office management software (ERP etc.);
  • Familiarity with office management procedures and basic accounting principles.
