Our company is looking for a Part-time Administrative Assistant to join our team.

Responsibilities:

  • Compile property transaction files for contracts and verify the information;
  • Data entry;
  • Run reports and create dashboards from various technology platforms;
  • Lunch set-up (when catered in);
  • Answer questions about our services from callers and general business inquiries;
  • Manage corporate inbox and forward to appropriate team member or answer general inquiries;
  • Work with building management to resolve facility issues;
  • Assist with generating sales presentations and marketing packages using Microsoft PowerPoint;
  • Other duties as assigned;
  • Draft correspondence (letters, contracts, and emails) using Microsoft office products (i.e. MS Word, Excel and PowerPoint);
  • Responds to and directs walk-in customer traffic;
  • Process invoices from 3 rd party vendors, verify the accuracy of the invoice and gain supervisor approval for payment;
  • Handle all resident related calls;
  • Order office supplies, receive and put away;
  • Enforce all items on the lease.

Requirements:

  • Strong Excel, PowerPoint, and Google e-mail/calendar/doc skills;
  • Must be able to work independently, or as a team member, while maintaining focus and productivity;
  • Must be willing to work in Chicago and north suburban office as scheduled;
  • Must be comfortable with Microsoft Office Suite, especially Outlook calendar;
  • Ability to maintain highly confidential information;
  • Work with integrity in all interactions;
  • Ability to learn the electronic medical record system;
  • Exude confidence and self-awareness;
  • Demonstrated experience using Microsoft Office (Word, Excel, and PowerPoint);
  • The ability to work according to the necessary schedule to meet job requirements with or without reasonable accommodation;
  • Work harmoniously with other employees and develop/maintain good employee relations and employee morale;
  • A minimum of one year of experience in customer service and/or office support field;
  • Work Requirements (licensing/certifications): Valid driver-s license preferred;
  • The ability to work a full shift, come to work on time and work overtime as needed;
  • Able to type a minimum of 40 words per minute.
