Senior Executive Assistant Job Description Template
Our company is looking for a Senior Executive Assistant to join our team.
Responsibilities:
- You’ll schedule and coordinate numerous weekly and ad hoc meetings;
- You are a team player and will act as back-up for Receptionist and other Admins;
- You may take on some light personal tasks such as errands, setting up appointments, and various ad hoc requests;
- You will handle travel arrangements (int’l and domestic) and make frequent revisions as needed;
- Coordinate special projects such as white papers, reports, and briefings;
- Organize files and other written communications;
- Edit and update documents such as white papers, reports, staffing/hiring, management directives and policy;
- Act as the point of contact between executives and employees/clients;
- Suggest more efficient ways to run the office and troubleshoot malfunctions;
- Review and recommend changes to our company policies;
- Composes correspondence requiring some understanding of technical matters;
- Plan appointments and events;
- Notes commitments made by executive during meetings and arranges for staff implementation;
- Maintains close and highly responsive relationship to the day-to-day activities of the executive. Relieves executive of routine administrative duties;
- Manages executive’s expense budget.
Requirements:
- HS Diploma or GED;
- Experience with managing a calendar, making travel arrangements, or managing expense reports;
- Ability to research best practices and manage tasks with little to no supervision;
- Familiarity with online calendars and cloud systems;
- Proficiency with MS Office Suite;
- Minimum High School diploma (or equivalent), plus some college courses;
- Ability to be proactive in anticipating business and administrative needs;
- Experience with Microsoft Office including Word, Excel, Powerpoint and Outlook;
- Ability to prioritize and multi-task independently in a fast-paced environment;
- Ability to draft simple presentations and organization charts and proofread for grammar and punctuation with a high level of accuracy;
- 7+ years of experience in administrative role handling sensitive and confidential information;
- Must be proficient with a variety of software/hardware including Word, PowerPoint, Outlook, Excel, etc;
- Ability to clearly communicate both verbally and in writing;
- Can work independently with minimum supervision;
- Experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook at an expert level.
