Warehouse Specialist
The Warehouse Specialist supports customers throughout the quoting, order, and fulfillment process while also providing experienced warehouse and inventory support. The position prepares customer quotes, responds to product and order inquiries, enters and tracks orders, communicates product availability and delivery status, and works with sales, purchasing, and warehouse personnel to meet customer needs. The position also performs receiving, shipping, inventory-control, and order-fulfillment duties when needed. Forklift operation is an occasional support responsibility and is not the primary focus of the role. Respond promptly and professionally to customer inquiries received by phone, email, or in person regarding products, pricing, availability, order status, deliveries, returns, and related needs.
Prepare accurate customer quotes using approved pricing, cost, margin, freight, tax, and delivery information and route pricing exceptions or special terms for approval.
Review customer requests to confirm product descriptions, part numbers, specifications, quantities, units of measure, delivery requirements, and other order details before issuing a quote or entering an order.
Research product availability, lead times, alternatives, vendor information, and estimated freight in coordination with sales, purchasing, warehouse personnel, and vendors.
Follow up on open quotes, document customer responses, update quote status, and communicate relevant opportunities or concerns to sales and management.
Convert approved quotes into sales orders or otherwise process customer orders in the applicable system, ensuring that pricing, quantities, shipping instructions, customer information, and required documentation are accurate.
Provide customers with timely updates regarding order confirmation, backorders, substitutions, estimated arrival dates, shipment status, delivery changes, and customer pickup readiness.
Assist customers with routine product questions and help identify appropriate products based on available specifications and company information; refer technical or application-specific questions to the appropriate internal resource.
Coordinate customer pickups, deliveries, returns, warranty requests, credits, emergency orders, and special-order requirements in accordance with company procedures.
Research and help resolve routine customer concerns involving pricing, shortages, overages, damaged products, incorrect shipments, delivery issues, invoices, or returns, and escalate matters when approval or additional expertise is required.
Maintain complete and accurate quote, order, customer, and communication records in the applicable systems.
Build professional customer relationships through accurate information, dependable followthrough, and courteous service.
Receive, inspect, verify, and process incoming industrial products, materials, supplies, and equipment when warehouse support is needed.
Review purchase orders, packing slips, manifests, freight documents, and product certifications for completeness and accuracy.
Assist with put-away, replenishment, picking, packing, staging, shipping, and release of customer orders, with priority given to quoting, order processing, and customer service responsibilities.
Process or review inventory receipts, transfers, returns, backorders, adjustments, and related transactions.
Perform cycle counts, location audits, and inventory reconciliations and assist with researching shortages, overages, damage, incorrect products, and inventory variances.
Maintain accurate product locations, bin assignments, labels, and inventory records and help identify slow-moving, damaged, obsolete, or incorrectly stored inventory.
Prepare or review shipping documents, labels, packing lists, bills of lading, and related records.
Occasionally operate a forklift, order picker, pallet jack, or other authorized material-handling equipment to support customer orders or warehouse operations, after completing required company training and authorization.
Complete required pre-use equipment inspections and report maintenance or safety concerns before operating powered industrial equipment.
Assist with warehouse organization, housekeeping, safe storage practices, workflow coordination, and process improvements.
Serve as a knowledgeable customer service and warehouse resource when the manager is unavailable without assuming unauthorized management responsibilities.
Perform additional administrative, purchasing-support, customer-service, warehouse, or operational duties as assigned.
High school diploma or GED required, or an equivalent combination of education and experience.
At least two years of customer service, inside sales support, quoting, order processing, warehouse, distribution, industrial supply, inventory control, or related experience preferred.
Experience in an industrial supply, parts, distribution, manufacturing, or similar business environment strongly preferred.
Experience preparing quotes, entering customer orders, communicating order status, and resolving routine customer issues preferred.
Proficiency with inventory, warehouse-management, customer relationship management, quoting, or order-processing systems.
Ability to use email, spreadsheets, scanners, handheld devices, and standard office equipment.
Ability to interpret customer requests, product information, purchase orders, packing slips, bills of lading, and inventory records.
Ability to prioritize customer requests and operational assignments and work independently.
Strong professional communication and customer-service skills.
Ability to lift, move, and stage materials consistent with the physical requirements of the position.
Previous forklift or powered industrial truck experience preferred but not required. The employee must be able and willing to complete company training and obtain authorization before operating powered industrial equipment.
Working knowledge of customer quoting, order entry, customer communication, and order follow-up practices.
Ability to prepare accurate quotes using approved pricing and to recognize when pricing, freight, credit, or commercial terms require approval.
Ability to understand customer needs, verify order details, and communicate product availability, lead times, substitutions, and delivery expectations clearly.
Knowledge of industrial supplies, product applications, part numbers, specifications, units of measure, and material-storage requirements, or the ability to learn them quickly.
Strong product research, inventory organization, cycle-counting, reconciliation, and discrepancy-resolution skills.
Proficiency with applicable quoting, order-processing, inventory, warehouse-management, and customer-record systems.
Ability to accurately interpret purchase orders, packing slips, manifests, bills of lading, product certifications, and related documentation.
Ability to investigate customer and inventory issues, document findings, resolve routine matters, and escalate exceptions appropriately.
Knowledge of safe material-handling, equipment-inspection, housekeeping, and productstorage practices.
Ability to occasionally operate authorized material-handling equipment safely after completing required training.
Ability to coordinate effectively with customers, sales, purchasing, warehouse personnel, vendors, transportation providers, and management.
Ability to train employees and provide task-level direction without assuming unauthorized supervisory authority.
