We are looking for an experienced HR Assistant to support the Chief Operating Officer with daily HR, hiring, administrative, and compliance-tracking.

This is not an entry-level position. The right candidate must be organized, dependable, detail-oriented, and able to work independently without constant direction. This person should be comfortable managing follow-up, prioritizing routine tasks, making basic operational decisions, and knowing when to escalate sensitive matters.

This role will also assist with hiring-related tasks when needed, including candidate communication, interview scheduling, onboarding preparation, and follow-up on missing new-hire documents .

Responsibilities

Assist with candidate communication, interview scheduling, onboarding preparation, and hiring follow-up.

Prepare, organize, and maintain employee and contractor files.

Track missing documents and follow up with employees, managers, clinics, and candidates.

Monitor and route assigned inbox items to the appropriate person or department.

Maintain spreadsheets, task lists, reminders, and follow-up logs.

Assist with document organization, and filing.

Identify urgent, sensitive, or high-risk issues and escalate them to the COO.

Skills

• 2 or more years of experience in office administration, HR support, recruiting support, healthcare administration, clinic operations, or a similar role preferred.
• Ability to work independently and manage multiple priorities.
• Strong organization, accuracy, and follow-through.
• Good judgment and ability to recognize when an issue should be escalated.
• Comfortable handling confidential employee and business information.
• Strong written and verbal communication skills.
• Experience with Outlook, calendars, spreadsheets, shared files, and digital filing systems.
• Healthcare, chiropractic, medical office, or multi-location office experience is a plus.
• Experience with ADP Workforce Now, payroll, HR, and onboarding systems is a plus.
