Executive Assistant - Full-Time, In-Office
Hannah Reno Real Estate at Keller Williams is seeking a highly organized, detail-oriented Executive Assistant to support operations, agent services, marketing coordination, client communication, scheduling, and administrative functions. The ideal candidate is proactive, professional, tech-savvy, and able to manage multiple priorities in a fast-paced environment while maintaining exceptional customer service.
Requirements:
Active Montana Real Estate License required at time of hire
Strong organizational and communication skills
Ability to work independently and maintain confidentiality
Proficiency with Microsoft Office, Google Workspace, and real estate technology platforms preferred

Full-Time
Monday-Friday
In-Office Position
Hybrid or remote work is not available

Responsibilities
Manage executive calendars, appointments, meetings, and travel arrangements.
Coordinate brokerage events, training sessions, and client appreciation events.
Assist with real estate transaction management and compliance tracking.
Prepare, review, and maintain contracts, disclosures, and broker documents.
Serve as a point of contact for agents, clients, vendors, and business partners.
Manage incoming calls, emails, and office communications.
Create and coordinate marketing materials, social media content, and email campaigns.
Maintain agent files and ensure compliance with brokerage and state regulations.
Track projects, deadlines, and follow-up tasks to ensure timely completion.
Coordinate vendor relationships and office service providers.
Prepare reports, spreadsheets, presentations, and meeting materials.
Maintain office organization, supplies, and daily operations.
Assist with recruiting efforts, career nights, and brokerage growth initiatives.
Handle confidential information with professionalism and discretion.
Provide exceptional customer service to clients, agents, and visitors.
Support the Operating Principal and leadership team with special projects and strategic initiatives as assigned.
