The Program Coordinator provides operational and administrative support to ensure the successful planning, execution, and ongoing management of programs and projects. Working closely with the Program Manager and cross-functional teams, this role is responsible for coordinating activities, maintaining program documentation, tracking deliverables, facilitating communication, and supporting process improvements. The Program Coordinator helps keep initiatives organized, on schedule, and aligned with organizational goals by managing day-to-day coordination, monitoring progress, and ensuring stakeholders have the information and resources needed for successful program execution.
Maintain program documentation including project plans, meeting notes, and status trackers.
- Manage shared inboxes, internal communications, and document repositories
- Plan, manage, and report on project progress from Request for Proposal (RFP) through Implementation and year-over-year renewal.
- Continuously build knowledge of federal legislation and other programs related to financial aid, as they emerge and change, to provide best practice recommendations to customers.
- Develop and maintain program guidelines, policies, and procedures in alignment with organizational objectives and regulatory requirements.
Bachelor's degree in Business Administration, Project Management, Communications, or a related field, or equivalent combination of education and experience preferred.
1-3 years of experience in program coordination, project support, operations, or administrative support role.
- Experience working with internal stakeholders and cross-functional teams, with strong proficiency in Microsoft Office Suite and collaboration/project tracking tools.
- Strong written and verbal communication skills with the ability to clearly document updates, follow-ups, and status reporting across multiple audiences.
Strong organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously in a structured and detail-oriented manner.
- Excellent written and verbal communication skills, with the ability to synthesize information and clearly document meeting notes, action items, and status updates.
- Proficiency in project coordination practices, including tracking deliverables, maintaining documentation, and supporting workflow execution across teams.
- Strong problem-solving skills with the ability to identify process gaps, recommend improvements, and support implementation of more efficient workflows.
- Working knowledge of Microsoft Office Suite (Outlook, Word, Excel) and familiarity with collaboration or project tracking tools.
- Ability to manage confidential and sensitive information with discretion and professionalism.
