HR - Recruiting - Talent Sourcer

Position Summary

Virginia Transformer is seeking a highly organized and customer-focused Talent Coordinator to support the full employee lifecycle by coordinating recruiting operations, onboarding, orientation, background screening, candidate experience, and employee travel. This role serves as a key partner to the Talent Acquisition team, hiring managers, and Human Resources to ensure a seamless experience for candidates and new hires while maintaining efficient recruiting and onboarding processes.

Key Responsibilities

Coordinate interview schedules between candidates, hiring managers, and recruiters.

Maintain applicant tracking system (ATS) data and ensure candidate records remain accurate and up to date.

Assist recruiters with job postings, candidate communications, and interview logistics.

Support sourcing initiatives and recruiting events as needed.

Prepare offer letters and onboarding documentation.

Monitor recruiting activity and provide status updates to recruiters and hiring managers.

Coordinate pre-employment background checks, drug screens, and employment verification.

Monitor completion of pre-employment requirements and follow up with candidates and vendors as necessary.

Ensure compliance with company policies and applicable employment regulations.

Maintain confidentiality of candidate and employee information.

Coordinate all new hire onboarding activities.

Facilitate new employee orientation and welcome sessions.

Prepare onboarding materials, welcome packets, and new hire documentation.

Coordinate with IT, Facilities, Payroll, Benefits, Security, and department leaders to ensure employees are fully prepared for their first day.

Track completion of onboarding tasks and required training.

Employee Experience

Serve as a primary point of contact for new employees during the onboarding process.

Promote a positive and engaging new hire experience.

Assist with employee engagement initiatives, recognition programs, and onboarding feedback.Support continuous improvement of onboarding and employee experience processes.

Employee Travel Coordination

Arrange domestic travel for new hires, internal employees, and candidates as required.

Coordinate airfare, hotels, rental vehicles, and travel itineraries.

Ensure travel complies with company policies and budget guidelines.

Serve as the primary contact for travel-related questions and scheduling changes.

Administrative Support

Maintain recruiting, onboarding, and orientation reports and metrics.

Assist with HR and Talent Acquisition projects.

Maintain accurate electronic personnel and recruiting files.

Support compliance initiatives and audit requests.

Recommend process improvements to increase efficiency and enhance the candidate and employee experience.

Qualifications

Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.

2+ years of experience in recruiting coordination, HR administration, talent acquisition, or employee onboarding.

Experience coordinating interviews, orientations, and onboarding activities preferred.

Experience with applicant tracking systems (ATS), HRIS, or recruiting software preferred.

Strong organizational, time management, and multitasking skills.

Excellent verbal and written communication skills.

High level of professionalism and ability to handle confidential information.

Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams.

Preferred Qualifications

Experience supporting recruiting within manufacturing or industrial environments.

Familiarity with background screening and pre-employment processes.

Experience coordinating employee travel.

Knowledge of onboarding best practices and employee engagement initiatives.
