Head of Operations & Business Management

Position Summary SMM Facilities is seeking a highly motivated and results-driven Operations Manager to oversee business development, project management, customer relations, and field operations throughout San Diego and Orange County. This position is responsible for growing new business opportunities, managing service contracts and construction projects, coordinating subcontractors, and ensuring exceptional customer satisfaction.

This role requires a high level of accountability, professional communication, and the ability to manage multiple projects while maintaining strong client relationships.

Essential Responsibilities Business Development & Sales Generate new business opportunities targeting commercial office buildings, multifamily communities, property management companies, and facility managers.

Prepare estimates, proposals, and presentations for facility maintenance and construction services.

Promote and sell janitorial services, construction services, pressure washing, window cleaning, painting, and other facility maintenance solutions.

Conduct site walks and customer meetings to identify opportunities and provide solutions.

Meet or exceed monthly and annual sales goals.

Operations & Project Management Manage multiple projects simultaneously from inception through completion.

Coordinate labor, materials, equipment, and subcontractors to ensure successful project execution.

Monitor project schedules, budgets, and profitability.

Conduct site walks, project inspections, and quality control reviews.

Maintain clear communication between customers, field teams, subcontractors, and company leadership.

Proactively identify and resolve project challenges before they impact the customer or project schedule.

Customer Service & Communication Serve as the primary point of contact for customers.

Maintain exceptional customer service through professional and timely communication.

Respond promptly to customer requests, concerns, and service needs.

Provide regular project updates, schedules, and status reports.

Ensure all customer commitments are fulfilled and communicated effectively.

Subcontractor Management Source, schedule, and manage subcontractors.

Verify quality of work and compliance with project requirements.

Ensure subcontractors adhere to safety requirements, schedules, and quality standards.

Administrative Responsibilities Prepare project documentation, reports, schedules, and work orders.

Maintain detailed and professional email communication with customers, ensuring timely follow-up on all requests, proposals, project updates, and outstanding items.

Provide customers with comprehensive before-and-after project reports, including photos, completion summaries, and recommendations for future maintenance.

Prepare and manage estimates, proposals, contracts, change orders, and project closeout documentation.

Qualifications Minimum 3–5 years of experience in facilities maintenance, construction management, property services, or a related industry.

Proven experience in sales, business development, and customer relationship management.

Strong project management and organizational skills.

Ability to manage multiple priorities in a fast-paced environment.

Proficiency with Microsoft Office, Google Workspace, CRM platforms, and project management software.

Work Requirements Must be available to respond to customer and operational needs outside of normal business hours, including evenings and weekends when required.

Must be willing to perform occasional weekend site visits, emergency response coordination, and project oversight.

Ability to travel throughout San Diego County for customer meetings, site inspections, and project management activities.

Ability to lift up to 50 pounds and perform site inspections in various work environments.
