The Operations Coordinator supports the day-to-day logistics of live entertainment productions, with a focus on scheduling support, client invoicing, and cross-functional coordination. The Coordinator plays a key part in ensuring events run smoothly and clients receive accurate, timely information and billing.

Assist in the development and maintenance of event, rehearsal, and crew schedules.

Track invoice statuses, follow up on outstanding payments, and update internal billing systems.

Resource & Crew Support:

Liaise with technical and logistics departments to confirm resource availability and deployment.

Assist in tracking crew hours and ensuring timekeeping accuracy for payroll and invoicing purposes.

Serve as a key point of contact for scheduling adjustments, client inquiries, and event coordination.

Onboarding & Site Support:

Assist with the onsite onboarding of crew, ensuring proper check-in, and documentation.

Coordinate with site supervisors to confirm team readiness and compliance with safety protocols.

Administrative & Operational Support:

Support the Operations Manager in process improvement initiatives and reporting.

Utilize scheduling software and tools to manage and optimize schedules.

Professional & Personal Qualifications

• 2+ years of experience in an operations, production, or administrative role (live events or entertainment preferred).
• Proficient in scheduling software and tools.
