Clinical Secretary II

Location: Clinton, North Carolina

The Clinical Secretary II is responsible for performing tasks as assigned by the Clinical Manager.

Essential Job Functions are:

Creates positive experiences for internal and external customers that will meet their expectations. Displays a high degree of courtesy, tact, and knowledge of services provided by the agency in all contact with staff, patients, and visitors.

Prints Interim orders daily for the Clinical Director/Assistant Clinical Director to review and mail to physicians for signature. Checks in returned and signed interim orders, plans of care, face-to-face 100% of the time and notifies the order specialist if applicable. Creates POC per POC completion checklist for secretaries.

Processes and passes batches (including supplies) within 24 business hours 100% of time, making corrections and communicating to staff as directed by supervisor. Generate staff mileage through mileage advisor prior to each payroll.

Monitors and works the admission statistic report, expiring certification reports, service reports and other correspondence as directed by supervisor. Maintains on-call calendar monthly.

Demonstrates proper telephone etiquette by answering phone properly in a friendly, courteous, professional and discreet manner with all callers.

Manages the supply of admission booklets and prepares for visiting staff for all service lines.

Coordinates/triage calls received from patient/caregiver or other health care team members to the case manager or appropriate personnel promptly and effectively.

Accurately fax lab results to appropriate parties within the next business day (infusion companies, MDs, Case Managers, etc.)

Accurately orders supplies daily for patients by submitting incontinent supply order monthly to appropriate corporate designee by requested date, maintaining supply inventory controls, including removal of expired supplies and products from ER closet.

Manages clinical records electronically via Doc Center and EMR. Faxes discharges and transfer summaries per COPs.

Manages ordering HRS Monitors for patients and sets up the return of the monitor once patient has complete program.

Provides troubleshooting technical support to the Director of Clinical Services/Assistant Clinical Director and/or visiting staff with minimal assistance from the Information Technology Department.

Demonstrates an interest in personal and professional growth for self and staff: (a) attends and participates in workshops, seminars, webcasts to keep abreast of current changes in rules, regulations, relating to job functions and department; (b) does individual reading and research; and (c) recommends educational opportunities for staff and encourages participation.

Demonstrates a willingness to be cost effective in the use of agency resources, the monitoring of waste, and the proper and safe use of supplies and equipment.

Adheres to 3HC's Personnel Policy and performs other appropriate duties as assigned by supervisor to promote the successful operations and future growth of 3HC.

Requirements:

High School Diploma or equivalent required

Associate's Degree in Business Administration, or related field preferred

At least 3-years experience in a clinical role/position

At least one-year experience in healthcare preferred

Working knowledge of current software relating to position

Ability to work independently

Working knowledge of medical terminology, word, and excel
