We are hiring a Program Manager for one of our clients in Hamilton, NJ .
Job Responsibilities
The position requires strong organizational, communication, and time-management skills.
The worker should be able to track multiple assignments, maintain accurate records, prepare routine written communication, and follow up with providers in a professional manner.
The worker should be proficient with Microsoft Office Suite, including Outlook, Word, and Excel, and should be able to update spreadsheets, maintain tracking logs, organize electronic files, and assist with document preparation.
Attention to detail is essential because the position will support reporting requirements involving multiple programs, counties, and service lines.
The worker must be able to manage competing priorities, work independently, maintain confidentiality, and communicate effectively with State staff and contracted providers.
Strong attention to detail, effective written and verbal communication, organizational ability, basic spreadsheet proficiency, time management, ability to maintain accurate tracking logs, and ability to handle multiple assignments simultaneously.
The worker must be able to work independently, follow direction, maintain confidentiality, and support routine follow-up with providers and internal staff.
Administrative & Reporting Responsibilities
Provide administrative, reporting, tracking, and follow-up support to the DMHAS Footswitch primary support to the Acute Care Unit.
Assist with monitoring required provider submissions across OTRS service lines operating statewide in all 21 counties.
Track and document reporting status for required submissions, including SRC, QCMR, USTF+, and other assigned reporting processes.
Follow up with contracted providers and programs regarding missing, late, incomplete, or inconsistent reports.
Maintain tracking logs, update spreadsheets, organize electronic files, and prepare routine status updates for review by OTRS and acute care leadership.
Assist with preparing routine correspondence, reminder notices, meeting materials, meeting notes, and internal summaries related to reporting compliance and provider follow-up.
Support the unit in identifying outstanding submissions, documenting outreach efforts, and ensuring required reports are received, organized, and available for program review.
Provide additional administrative support as needed, including scheduling assistance, document preparation, template updates, data entry, filing, and coordination with other OTRS units.
Maintain confidentiality of program, provider, and client-related information and perform other related duties as assigned.
Desired Skills
Prior administrative experience in a government, healthcare, behavioral health, social services, or contract-monitoring environment.
Experience with spreadsheets, reporting logs, provider communication, data tracking, document management, and meeting support is preferred.
Familiarity with behavioral health programs or State-funded provider reporting is helpful but not required.
Working Hours
9:00 AM to 5:00 PM
Lunch: 30 minutes (unpaid)
