Head of Operations & Business Management

POSITION OVERVIEW The Operations Manager oversees the day‑to‑day operations of their assigned center. Responsibilities include administrative duties, team development, billing, payroll and general reporting, staff and patient scheduling, recruitment, hiring, onboarding, employee and client relations, ensuring financial health, maintaining a safe facility, and communicating with staff, patients, families, and facility operations.

Communicate, implement, and represent CARD’s policies and mission at the center.

Recruit, hire, and onboard administrative and clinical staff as needed.

Supervise staff daily operations to ensure employee and patient satisfaction.

Provide mentorship and career development to staff, including ongoing 1:1 meetings and annual performance management.

Schedule all clients and staff to meet contracted hours and billing requirements.

Partner with the Clinical Supervisor(s) to provide top‑quality clinical services.

Learn and employ business systems, legal practices, HIPAA compliance, and technology as mandated by CARD.

Manage purchasing budget and track equipment and devices.

Lead outreach efforts to meet monthly growth requirements and build relationships with community entities.

Maintain client and employee privacy in accordance with CARD policy and HIPAA regulations.

Ensure facility cleaning, hygiene, safety, and maintenance, utilizing approved vendors.

Meet regularly with the Division Director and Group Operations Manager.

REQUIREMENTS High school diploma or equivalent required.

Bachelor’s degree in business, accounting, finance, administration, or management preferred.

Minimum 3–6 years of management experience; Decisive implementation and detail orientation.

Proactive, results‑oriented, creative problem solving.

Work closely with families to ensure patient success and quality of care.

Excellent written and verbal communication, phone and e‑mail etiquette.

English proficiency, both verbal and written.

Strong computer skills in Outlook, Word, Excel, and PowerPoint.

Ability to work extended hours, weekends, and holidays as required by industry demands.

WORK ENVIRONMENT Includes a typical office environment with minimal noise and occasional local and/or overnight travel. PHYSICAL REQUIREMENTS Work with patients seated on the floor or in small chairs, moving frequently throughout the therapeutic setting.

Use continuous visual tracking to monitor patient movement and surroundings.

Work indoors and outdoors in various weather conditions.
