Support Specialist

Job Summary We are seeking a proactive, highly organized, and detail-oriented Administrative Support Specialist to join our team in Willoughby, Ohio. In this dynamic role, you will serve as a core engine of our daily operations by bridging sales support and service administration. Working closely with our field team, sales representatives, and leadership, you will manage service dispatch, process equipment and parts orders, prepare client proposals, and ensure accurate data entry within our ERP system. The ideal candidate is an agile multitasker who thrives in a fast-paced environment, demonstrates sharp problem-solving capabilities, and maintains a collaborative, team-first attitude. Key Responsibilities Service Coordination & Field Dispatch Schedule & Dispatch: Manage daily scheduling and dispatch for Field Service Engineers/Technicians, taking incoming service requests and logging/updating cases in NetSuite. Proposals & Contracts: Assist the sales team in preparing formal quotes, service proposals, and contracts. Equipment Quote Requests: Work with original equipment manufacturers (OEMs) to request quotes, prepare purchase orders, and assist in purchasing capital equipment. Order Processing & Quoting: Assist sales representatives with order quoting, processing, and tracking. Lead & Pipeline Management: Collaborate with leadership and sales teams to help manage sales pipelines, track leads, and maintain accurate records of sales activity. ERP Data Integrity: Maintain accurate records within NetSuite by executing daily data entry, document management, and routine sales/service performance reporting. Billing Support: Prepare and process invoices for Time & Materials (T&M) billing. General Office Administration Office & Communications: Manage incoming phone calls with a professional demeanor, routing inquiries to the appropriate team members. Team Collaboration: Work collaboratively in a team environment to ensure balanced workloads and shared coverage during peak operational times. Qualifications & Requirements Education: Associate or Bachelor’s degree preferred Experience: Preferred experience in scheduling, dispatch, customer service, or operations administration. Experience in a fast-paced or medical service environment is a plus. Technical Skills: Proficiency with an ERP/CRM is preferred. Solid command of the Microsoft Office Suite. Attributes: Strong multi-tasking and organizational abilities; exceptional communication skills. Schedule & Location Schedule: Full-Time, Day Shift (Monday–Friday).
