Assistant Director of Transportation - Job Description

Position summary

The Assistant Director of Transportation helps the Director plan, coordinate, and oversee safe, reliable, and efficient transportation for Westfield Washington Schools students. The position provides daily operational leadership for routes, driver coverage, dispatch, student needs, extracurricular trips, and family communication. It also supports employee supervision, safety practices, fleet coordination, recordkeeping, and continuous improvement. The Assistant Director acts on behalf of the Director when designated.

Essential functions and responsibilities

Daily Operations and Routing

1. Monitor daily bus operations and coordinate responses to driver absences, open routes, vehicle shortages, traffic, weather, delays, and other service disruptions.
2. Help develop, review, and adjust routes, stops, schedules, and vehicle assignments using enrollment, ridership, capacity, travel times, and student safety information.
3. Coordinate drivers and substitute assignments and communicate changes promptly to drivers, schools, families, and other affected staff.
4. Oversee the preparation of route maps and instructions for regular routes, field trips, athletics, and other extracurricular transportation. Help coordinate trip requests, scheduling, staffing, and vehicles.
5. Work with the maintenance team to assign appropriate vehicles, report defects, arrange replacement buses, and minimize interruptions to service.
6. Monitor transportation data and prepare reports that help the Director evaluate route performance, staffing needs, service reliability, and opportunities for improvement.
7. Clip and review bus video.

Student Safety and Emergency Response

1. Assist the Director in responding to crashes, vehicle breakdowns, severe weather, student incidents, and other emergencies. Help account for students, arrange safe transportation, notify appropriate parties, and document the response.
2. Communicate essential student health, accessibility, behavioral, and emergency information to authorized transportation personnel on a need-to-know basis.
3. Coordinate with schools and appropriate student services staff to implement transportation arrangements required by individual student plans.
4. Review safety concerns involving routes, stops, loading areas, and transportation practices; investigate concerns within assigned authority and recommend corrective action.
5. Support driver safety training, emergency preparedness, and incident follow-up

Staff Leadership and Administration

1. Assist with recruiting, onboarding, training, scheduling, coaching, and evaluating transportation employees as assigned.
2. Review employee hours, attendance, and leave records and submit accurate information through district processes.
3. Provide clear direction to drivers, dispatch staff, mechanics, and office personnel while supporting a respectful, accountable team culture.
4. Follow district procedures and applicable employment agreements when addressing staffing or performance matters, elevate matters requiring Director or Human Resources action.

Communication and Customer Service

1. Respond professionally and promptly to questions and concerns from parents, guardians, students, school staff, and the public. Research issues, document follow-up, and refer decisions beyond assigned authority to the Director.
2. Advise schools of route or bus changes, delays, and emergencies. Provide accurate verbal and written communication by two-way radio, telephone, email, and district systems.
3. Communicate with drivers about route changes, student needs, emergencies, and other information needed to operate safely.
4. Answer calls, prepare correspondence and documents, and assist with transportation office functions during periods of high demand.

Records, Compliance, and Improvement

1. Maintain accurate route, trip, vehicle assignment, incident, personnel, and other transportation records required by the district and applicable authorities.
2. Help monitor compliance with applicable federal and Indiana transportation requirements, district policies, and established procedures.
3. Assisting with drug compliance.
4. Protect confidential student, health, and personnel information and use district systems in accordance with access and retention requirements.
5. Support planning for vehicle replacement, equipment, technology, staffing, and departmental expenditures as assigned.
6. Perform other related duties assigned by the Director of Transportation or district administration.

Required knowledge, skills, and abilities

• Working knowledge of pupil transportation operations and the ability to learn and apply applicable laws, regulations, and district procedures.
• Sound judgment and the ability to prioritize student safety while making timely decisions during disruptions and emergencies.
• Ability to coordinate drivers, routes, vehicles, and multiple requests in a busy operation with frequent interruptions.
• Strong interpersonal, customer service, conflict resolution, and written communication skills.
• Ability to communicate clearly and concisely by two-way radio and telephone.
• Proficiency with spreadsheets, word processing, email, student information systems, and transportation routing or dispatch technology; ability to analyze information from multiple systems and produce accurate reports.
• Ability to maintain complete records, meet deadlines, and follow through on unresolved issues.
• Ability to handle confidential information ethically and share it only with authorized personnel who need it for their work.
• Ability to work independently and collaboratively with drivers, mechanics, school administrators, student services staff, families, and community members.
• Willingness to participate in professional development and maintain flexible hours when operations or emergencies require it.

Minimum qualifications

• High school diploma or equivalent.
• Experience in pupil transportation, school operations, dispatch, logistics, fleet operations, or a closely related field, including experience coordinating people and schedules.
• Ability to meet district employment requirements, including applicable background checks.
• Valid driver's license and ability to travel to district sites as needed.

Preferred qualifications

• Associate's or bachelor's degree in education, business, operations, logistics, or a related field.
• Experience supervising employees in a school transportation department.
• Training or certification in pupil transportation, school bus safety, or emergency response.
• Experience with PowerSchool or another student information system, routing software, GPS or fleet systems, Microsoft Excel, and Microsoft Word.

Work expectations

The position requires reliable attendance and punctuality, regular work at the Transportation Center and district locations, and availability during operating hours. Occasional early morning, evening, or emergency work may be necessary. Any requirement to drive a bus, lift equipment, or perform other physical tasks should be specified by the district based on the duties actually assigned.
