Volunteer/Event Coordinator
Reports to: The Director(s)
Status: Full-Time, non-exempt
Position Summary:
The Volunteer/Event Coordinator (VEC) is responsible for facilitating Animal Friends Humane Society’s Outreach programming. This includes the Volunteer Program, Pet Food Assistance Program, and general Outreach response. Managing a vibrant Volunteer Program that expands the shelter’s capacity to meet the needs of the community is a vital part of this position. This position promotes positive communication of AFHS’ vision, mission, programs, and Outreach efforts internally and externally by engaging volunteers and cultivating individuals and organizations. The Volunteer/Event Coordinator represents AFHS in a professional manner and supports the mission of AFHS.
Status: The position is 40 hours a week including Sundays and weeknights when events fall on those days/times. The position reports to the Director(s). The Volunteer/Event Coordinator may delegate duties as appropriate, but the responsibility for the accomplishment of all duties remains with the VEC. Performance evaluations will be given after the first three months and first twelve months of work and annually thereafter.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Volunteer Program:
- Manage and grow current volunteer program, making changes to overall program as needed
- Keep volunteer database and schedule up to date using Volgistics online software
- Accurately and thoroughly track volunteer hours
- Communicate regularly with volunteers through weekly updates via email, phone, face to face conversations, and shelter signage.
- Plan and execute recognition program that ensures volunteers feel appreciated and acknowledged
- Generate weekly/monthly statistics on volunteer participation for staff meetings and Director’s report
- Present volunteer orientations as needed to train new volunteers
- Work with other staff and volunteers to ensure consistent training
- Work closely with volunteers to take best advantage of their strengths and skills.
- Evaluate volunteer performance on an on-going basis, providing feedback and training, and ensuring that volunteers are following shelter rules for safety and disease control.
- Issue warnings and release volunteers when necessary.
- Market volunteer program to effectively recruit new volunteers on a regular basis.
- Mediate disputes between staff and volunteers and between volunteers.
- Perform special assignments and other duties as assigned when necessary.
Administrative:
- Execute daily tasks such as email, telephone response, and statistics for all Outreach work
- Maintain appropriate data. Activities include: maintaining accurate list of Outreach recipients, monitor data to identify Outreach priorities, create reports and share program data with relevant departments and organizations, working in cooperation with AFHS Director to collect data and needed information for grant purposes.
Community Outreach:
- Overseeing the Petmobile (mobile adoption unit) schedule and coordinating volunteers to assist with different events.
- Must be capable of safely operating a 26-foot recreational vehicle (RV style) including maneuvering and parking in city streets and a variety of urban, suburban, and event locations
- Attending PetMobile events and interacting with the general public to promote AFHS’ mission and cause
- Scheduling and coordinating facility tours.
- Facilitating and maintaining relationships with off-site adoption partners.
- Cleaning and maintaining Petmobile. Ensuring it is fully stocked and ready for events and in good working order.
- Mentor and support local elementary, high school, and college students interested in fulfilling projects by working with AFHS.
- Work with local media to promote AFHS through interviews and storytelling. Activities include: attend and show available animals for adoption on monthly pet segments on local news/radio, create and distribute flyers to promote events, fundraisers and adoption promotions, and participate in media interviews as needed.
- Activities include: be an active presence in the community, participate in and attend local networking gatherings to promote AFHS and establish relationships.
- Attend AFHS Fundraising and/or Outreach/Education events as requested.
- Maintain stock for and perform duties of the Pet Food Assistance Program. Activities include: Actively engage businesses and individuals in pet food drives, maintain organized database of pet food recipients and distribution of pet food.
- Communicate professionally and effectively with colleagues about Outreach activities.
Please note: All personnel may be required to perform duties outside of their normal responsibilities from time to time, as needed.
QUALIFICATIONS
- Education: A high school diploma is required. Associate or bachelor's degree is preferred
- Experience: Experience in a humane society, dog warden, SPCA or similar facility is preferred. Experience
- Must have a valid driver’s license, reliable mode of transportation, good driving record, and comfortable driving an extra-large vehicle
- Strong working knowledge of Microsoft Office suite and experience with data and spreadsheets.
- Pleasant and professional appearance.
- Self-motivated, well organized, detail oriented, and able to effectively work independently and within a team framework.
- Strong interpersonal communication skills required, as well as a high-level skill in written and verbal communication.
- Capable of balancing multiple priorities, with limited resources, in a fast-paced environment.
- Must be comfortable interacting with dogs and cats, many of whom may be under-socialized and/or large in size.
- Skilled in safe animal handling and have basic knowledge of animal behavior and health.
- Must comply with AFHS employee-owned animal policies.
- Enthusiasm for the mission of AFHS and helping animals in the community.
- Must be willing to work flexible hours, including evening and weekends as needed for special events
WORK ENVIRONMENT
Working conditions include:
- Possible exposure to dangerous, diseased, frightened and injured animals.
- Exposure to high noise levels and odors.
- Exposure to fumes or airborne particles and toxic or caustic chemicals.
- Exposure to Zoonotic disease.
- Exposure to outdoor weather conditions.
- Emotional demands include euthanasia, animal abuse, and animal neglect.
- Work is a mixture of desk/computer work and outdoor work.

The employee must occasionally lift and/or move up to 75 pounds. Specific vision requirements in close vision and the ability to adjust focus.
