Events Specialist

Description The Events Specialist is responsible for leading the planning, management, and execution of client-facing and internal firm events that support Chartwell Law's business development, marketing, and employee engagement objectives. This role oversees all aspects of event strategy and execution, including annual event planning, sponsorship management, vendor negotiations, budget administration, contract review, travel coordination, event marketing collaboration, and post-event analysis. Working closely with the Director of Marketing & Business Development, Business Development Manager, Marketing Manager, attorneys, firm leadership, and external vendors, the Events Specialist ensures all events are executed professionally, on budget, and aligned with the firm's brand and strategic business goals. Job Type Full-time Primary Job Duties Lead the planning and implementation of client-facing events, including conferences, networking events, seminars, sponsorship activations, client entertainment, and business development initiatives. Lead the planning and implementation of internal firm events, including retreats, holiday celebrations, summer events, training programs, and employee engagement initiatives. Collaborate with the Director of Marketing & Business Development, Business Development Manager, and Marketing Manager to develop event strategies that support firm growth and client relationship objectives. Evaluate sponsorship opportunities and manage sponsorship benefits, including speaker opportunities, attendee lists, booth logistics, marketing deliverables, and event participation. Research, evaluate, negotiate, and recommend venues, catering, décor, entertainment, promotional materials, and other event‑related vendors and services. Maintain strategic relationships with external vendors and identify new vendors and event opportunities as needed. Coordinate contract reviews to confirm accuracy, payment schedules, compliance requirements, and vendor deadlines. Develop and manage event budgets, monitor expenditures, and oversee invoice review and reconciliation. Oversee the firm's event calendar and monitor key dates, sponsorship obligations, planning milestones, and project deliverables. Work with marketing team members to develop event invitations, registration communications, reminder emails, follow‑up messages, social media promotion, and event‑related content. Collaborate with the Business Development Manager to identify target attendees, client outreach opportunities, and follow‑up strategies that maximize business development outcomes. Oversee event records within the firm's CRM and marketing databases, including attendee engagement, ROI metrics, and follow‑up activities. Track and report on event performance, including attendance, client engagement, leads generated, follow‑up activities, and business development outcomes. Provide guidance and direction to the Events Coordinator regarding event priorities, timelines, logistics, and execution requirements. Travel to events as needed to provide leadership and logistical support before, during, and after event execution. Manage multiple projects simultaneously while maintaining attention to detail, meeting deadlines, and identifying opportunities to improve processes, efficiency, event quality, and measurable outcomes. Develop, document, and maintain event planning procedures, workflows, templates, efficiencies, and best practices to support consistent execution across all firm events. Requirements Bachelor's degree in Marketing, Communications, Event Management, Hospitality Management, or related field. 5-7+ years of event planning, business development, marketing, or related experience in a law firm or professional services environment. Demonstrated experience managing large-scale events, sponsorship programs, vendor relationships, and event budgets. Ability to travel as needed, including occasional evenings and weekends. Must be near a major airport hub, preferably on the East Coast. Experience with Monday.com, Nexl, Canva, or similar MarTech platforms preferred but not required. Experience managing event budgets, vendor contracts, sponsorship deliverables, and event reporting. Experience working in a professional services environment. Legal industry experience is preferred but not required. Strong organizational, project management, and strategic planning skills. Proficiency with Microsoft Office Suite required.
