Job Summary and Qualifications

Position overview:


The scheduling coordinator is responsible for all scheduling responsibilities related to faculty and residents from both the educational side and clinical side of the program. This position requires a high level of accuracy and attention to detail. This individual must be able to work independently and have the ability to think quickly and solve scheduling conflicts in a timely fashion.


Essential Duties

Resident Rotation Scheduling & ACGME, ABFM, GME & Medicare Reporting Compliance


• Completes resident rotation schedules to meet all ACGME requirements


• Accurately forecasts residents' patient clinic visits and adjusts rotation schedules to achieve required goals


• Clearly communicates expectations of scheduling processes and assists residents in meeting such goals


• Actively works with administration team, faculty members and residents to avoid communication breakdowns


• Meets all scheduling deadlines


• Schedules course certification for all residents to meet ACGME requirements


• Responsible for investigating all potential duty hour violations and adjusting resident schedules for ACGME compliance


• Achieves consistent accuracy when documenting schedules in MedHub for Medicare Audit reporting

Faculty Scheduling


• Creates and manages faculty scheduling assignments to meet clinical and educational needs of the program


• Consistently documents faculty schedules in Outlook as a resource for faculty members and administration team


• Manages continually changing schedules


• Identifies approaching scheduling conflicts and resolves issues before they become a problem

eCW Schedules


• Responsible for opening all providers' schedules in eCW annually and monthly


• Analyze and solve scheduling conflicts

Compliance Tracking


• Course certification


• Works closely with faculty members to review and update core educational curriculum to meet ACGME compliance and insure quality educational experiences for resident training


• Executes and tracks required Program Letters of Agreement (PLA)

Required Meetings


• Monthly Chief Resident Meeting


• Resident Clinic Visit Update


• Communications Meeting


• Education Committee Meeting

Other Functions


• Special projects and duties as assigned

What qualifications you will need:

Basic Qualifications


• High School diploma or equivalent

• Minimum three years formal administrative support experience


• Minimum of one year demonstrated experience in high volume scheduling

• Advanced proficiency in Microsoft Office suite

Preferred Qualifications

• Three years' experience providing administrative experience within a medical setting
