What You Will Be Doing:

As the Rental Service Administrator, you will provide operational support for the Rental Store. You will perform multiple duties related to invoicing, reporting, and maintaining accurate databases. The Rental Service Administrator plays a critical role in achieving internal and external customer satisfaction by ensuring that back-office functions are performed timely and accurately.

Primary Responsibilities:

• Accurately process all rental invoices and credits.
• Understand the Rental Agreement Terms and Conditions so as to fully understand the components of rental agreements and invoices.
• Provide updates to customers on services and invoices both in person and over the phone.
• Communicate with management about any issues related to invoicing, customer complaints, and technician needs.
• Dispatch field service technicians to customer sites.
• Assist in inventory reconciliation process by helping to research missing items and processing write-off invoices for un-located items with management approval.
• Generate reports, such as a monthly credit report, as needed.
• Create purchase order numbers and code invoices for accounts payable

Additional Responsibilities:

• Participate in required safety program, and work in a safe manner.
• Answer incoming calls if Rental Coordinators are unavailable.
• Control supply expense by serving as the single point of contact for ordering office supplies.
• Additional duties as assigned by manager.

Who We Are Looking For:

To be successful in this position you should have a prior experience in an administrative role, be able to provide a superior customer experience, have excellent problem solving skills and be able to work independently. This position will place you in both and office and shop setting.

Education/Experience:

• High school or equivalent

Required Qualifications/Skills:

• At least two (2) years as an administrative assistant or similar role
• Proficient with Outlook, Excel (formulas, charts, graphs), Word and PowerPoint
• At least two (2) years assisting customers with accounts in person and over the phone

Preferred Qualifications/Skills:

• One (1) year experience as a Service Coordinator or Service Writer in the automotive/truck/heavy equipment industry
