Under general supervision, the Senior Administrator Coordinator Iprovides various management, administrative, and planning supportto the Dean of the Whitlowe R. Green College of Education andassists other departments in the College with activity coordinationas needed. Responsibilities: Management Support duties: Provides management of daily routine tasks for the Office ofthe Dean; maintains the Dean’s calendars and assists with classroomscheduling and college conference room scheduling; provideslogistical and administrative support for events, meetings, andspecialized activities. Creates and/or assists with the creation of meeting materials(i.e. handouts, PowerPoint or related presentation development) andmonitors documents to ensure accuracy and timely submission as wellas maintain a log to track all incoming and outgoingdocuments. Facilitates and assists with all Senior Leadership andCollege-wide meetings and keeps the official minutes of eachmeeting as well as serves as an information resource on operationalmethods and processes. Maintains public relations and professional disposition withadministrators, faculty, staff, students, donors, and communitymembers. Administrative Support Duties: Prepare and distribute letters and memoranda to faculty andstudents. Work with vendors to purchase college swag material andgift items. Serves as backup to the Building Coordinator; prepares all workorders concerning building maintenance and upkeep. Routinely interact with the Banner System and provides theDean, Associate Deans, Department Head, Directors, and BudgetSpecialist II with data for registration, course scheduling, andgraduation; enters data into the Banner System, review, and correctdata in Banner INB and Panthertracks after departments have builttheir course schedules. Enter overrides in the system after securing the Dean’sapproval; reviews and enters Requests for Incompletes in Bannerafter Dean’s approval; monitor mid-term and final missing gradesubmissions and provides status reports to Department Heads and theDean; works closely with the Registrar and Course Scheduler tointerpret and disseminate information to the departments in theCollege of Education. Coordinates the maintenance of files, records, references,resource materials, and workroom organization as well as conductsannual inventory and completes necessary documentation formissing/lost and surplus equipment. Works with college-designated IT Specialist to ensure facultyand staff and classroom equipment throughout college functionsproperly. Prepares travel requests and travel expense reports for theDean and assists faculty members on domestic and internationaltravel on an as-needed basis. Reconciles ProCard Transaction for the Dean and related staffin the Office of the Dean as well as serves as the primary point ofcontact for the College of Education with Human Resources, andrelated business units at the University. Performs other duties as assigned. Required Education & Experience: Bachelor's degree or equivalent combination of education andexperience. Six years of related experience. Required Knowledge, Skills an Abilities: Knowledge of word processing, spreadsheet, database, andpresentation applications. Ability to organize work effectively and prioritize objectiveswith a high level of discretion and independent judgment andinitiative. Ability to multitask and work cooperatively with others. Interpersonal and communication skills. Planning and organization skills. Special Requirements: Applicants with equivalent experience in place of a Bachelor’sdegree may be considered. One year of the related experience is theequivalent of one college year. Applicants being considered for theequivalency must have four years of related experience to meet theequivalency of a Bachelor’s degree plus the minimum required yearsof experience.
