About the role We’re looking for an organized, personable Office Manager to keep our day-to-day operations running smoothly. This role is central to the business - you’ll manage administrative functions, support equipment and parts sourcing, serve as a key point of contact for our clients, and handle quoting and billing for generator sales and rentals. It’s a great fit for someone who enjoys variety, takes ownership of details, and is comfortable juggling operations, customer relationships, and numbers all in the same day. What you’ll do Administrative Operations: Oversee day-to-day office functions, maintain accurate records and files, manage correspondence and phone/email inquiries, order office supplies, and support scheduling for the team. Equipment & Parts Sourcing: Assist in sourcing generators, parts, and related equipment from vendors and suppliers; track availability, pricing, and delivery timelines; help maintain inventory records. Client Relations: Serve as a friendly, reliable point of contact for customers renting or purchasing generators; build and maintain strong client relationships; ensure inquiries and requests are handled promptly and professionally. Quoting & Billing: Prepare and send price quotes for generator sales and rentals; process invoices and billing; track payments and follow up as needed; maintain accurate financial and billing records. Qualifications High school diploma or equivalent required; associate's or bachelor's degree in business administration or related field a plus. Prior experience in office management, administration, or operations - experience in equipment rental, construction, industrial, or power generation industries is a plus. Strong organizational skills with the ability to manage multiple priorities and deadlines. Comfortable preparing quotes, processing invoices, and handling basic billing/bookkeeping tasks. Excellent communication and customer service skills, with a professional, personable phone and in-person manner. Proficient in Microsoft Office (Word, Excel, Outlook); familiarity with QuickBooks or similar accounting/business software a plus. Self-starter who works well independently and as part of a small, close-knit team. Valid driver's license.
