Legal Billing Coordinator

Robert Half is working with a large corporate law firm in Manhattan to hire a Legal Billing Coordinator. This is a full scope billing seat supporting a group of partners from prebill through collection, and it's a strong fit for someone who knows the rhythm of a big firm billing cycle and can keep a high volume of matters moving without losing the details.

The day to day:

• Manage the full billing cycle for an assigned group of attorneys, from prebill generation and edits through final invoice delivery
• Prepare and distribute prebills, track partner edits, and turn revisions around quickly to keep the monthly cycle on schedule
• Build and submit invoices through e-billing platforms, monitor for rejections and reductions, and resolve issues directly with clients
• Apply outside counsel guidelines accurately and flag time or expense entries that fall outside client requirements
• Handle complex arrangements including split billing, alternative fee structures, retainers, discounts, and write offs
• Field billing questions from attorneys, legal assistants, and clients, and act as the go to contact for the timekeepers you support
• Assist with collections follow up and provide AR status updates to billing partners
• Maintain accurate client and matter setup, rate structures, and billing instructions in the firm's system
• Pull reports on WIP, unbilled time, and AR for partner review, and support month end and year end close

Position Requirements:

• 3+ years of billing experience within a law firm or professional services environment
• Working knowledge of legal billing software (Elite 3E, Aderant, or a comparable platform)
• Experience with e-billing systems such as eBillingHub, Serengeti/Legal Tracker, Tymetrix, or CounselLink
• Familiarity with outside counsel guidelines and LEDES formatting
• Strong Excel skills and comfort working with large volumes of data
• Excellent follow through and the ability to manage competing deadlines during peak cycle
• Professional communication skills and the confidence to work directly with partners and clients
