Job Description

We are seeking an experienced Project Coordinator / Business Analyst to support IT project delivery within a Project Management Office environment.

The candidate will facilitate requirements gathering, manage project backlogs, assist with Waterfall, Kanban, and Agile ceremonies, and provide general project coordination support. The role will work closely with stakeholders, developers, and project managers to document business needs, refine user stories, track project progress, and ensure consistent communication across technical and nontechnical teams.

Responsibilities

• Support IT project delivery within a PMO environment.
• Facilitate requirements-gathering activities.
• Support requirements documentation, user-story development, and acceptance-criteria development.
• Manage and refine project backlogs using Jira and Microsoft Teams Planner.
• Assist with sprint planning, daily stand-ups, sprint reviews, retrospectives, and other Agile ceremonies.
• Support Waterfall, Kanban, and Agile project-delivery activities.
• Support User Acceptance Testing planning, documentation, and coordination.
• Maintain project documentation in Confluence, SharePoint, Microsoft Teams, or similar platforms.
• Prepare and update project materials, including schedules, agendas, status reports, and action logs.
• Coordinate project meetings, capture meeting notes, and follow up on assigned action items.
• Support milestone tracking, timeline updates, and dependency monitoring under the direction of the Project Manager.
• Assist with PMO governance activities, including risk and issue tracking.
• Route documents for review and approval.
• Develop draft stakeholder communications, project updates, and reporting inputs.
• Perform general PMO support activities, including data entry, project-record maintenance, and logistics coordination.
• Organize project information, manage multiple priorities, and maintain accurate project documentation.
• Support communication and coordination among stakeholders, developers, project managers, and other technical and nontechnical team members.
• Perform basic data analysis.
• Create process models and workflow diagrams.

Required Experience/ Skills

• Bachelor's degree.

• Minimum of 5 years of experience providing administrative, project coordination, or project-support services.
• Experience supporting IT projects.
• Experience working within a Project Management Office or structured project-delivery environment.
• Familiarity with project-management concepts, workflows, and tools.
• Experience supporting requirements gathering and requirements documentation.
• Experience developing and refining user stories and acceptance criteria.
• Experience managing and refining project backlogs.
• Experience supporting Waterfall, Kanban, and Agile project-delivery activities.
• Experience supporting sprint planning, daily stand-ups, sprint reviews, retrospectives, and other Agile ceremonies.
• Experience supporting User Acceptance Testing planning, documentation, and coordination.
• Experience coordinating project meetings, documenting meeting notes, and following up on assigned actions.
• Experience preparing and maintaining project schedules, agendas, status reports, and action logs.
• Experience tracking project milestones, timelines, dependencies, risks, and issues.
• Experience supporting document-review and approval workflows.
• Experience drafting stakeholder communications, project updates, and reporting inputs.
• Ability to perform basic data analysis.
• Ability to create process models and workflow diagrams.
• Ability to organize information, manage multiple priorities, and maintain accurate project documentation.
