Project Billing Specialist

General Summary This position will assist with our Accounting Department operations by supporting accurate and timely project billing. This will be a full-time, hourly position. The average workday will be from 8:00am to 5:00pm, Monday - Friday. This position reports to the Accounting Department Leadership Team. Essential Job Functions and Duties • Prepare and submit customer invoices per contract terms (progress billing, T&M, milestones, retention, change orders). • Review contracts, SOVs (schedule of values), change orders, and job cost reports to ensure billing accuracy. • Coordinate with Project Managers to verify percent complete, billable items, and required approvals. • Compile and submit required billing backup and portal documentation (POs, lien releases, certified payroll as applicable). • Track invoice status and resolve billing holds, discrepancies, short-pays, and rejected invoices. • Maintain organized, audit-ready billing files and documentation. • Respond to customer billing inquiries and coordinate corrections/credit memos as needed. • Support Accounts Receivable and collections by providing invoice details and backup documentation. • Assist with month-end close activities related to billing, A/R, and job cost reporting. • Performs other duties as assigned. Knowledge and Skill Requirements • 2+ years of experience in project billing, construction billing, A/R, or related accounting support (construction industry preferred). • Experience with Sage, Sage 300, Sage Intacct a plus. • Ability to accurately and efficiently enter data into computer software and systems. • Strong attention to detail and ability to manage multiple deadlines. • Proficient in Microsoft Office Suite (especially Excel). • Construction, plumbing, or mechanical industry knowledge preferred but not required. Language Skills • Ability to write/type job related correspondence in English • Ability to speak read and write fluently in English Education - High school or equivalent required.
