As our Event & Partnerships Coordinator, you're the person who turns those moments from a plan on paper into something people actually experience, and you're also the one who makes sure everything nobody else sees runs perfectly behind the scenes. You'll be on the ground building out activations, helping run the room on event day, and packing every VIP box to perfection before it ever reaches doorsteps. One week you're hand-delivering a package to an A-list celebrity, the next you're setting up a step-and-repeat for a partner activation, the next you're running our storage unit like it's your own operation. This is a role for someone who genuinely loves hands-on, in-person work: not just event day energy, but the grind of organizing inventory, packing boxes right, and taking pride in getting the details exactly right. The Role You'll own the physical, logistical side of Magic Mind's events, partnerships, and gifting programs. Your #1 focus is being our on-the-ground engine in LA: running our storage unit, executing events and activations from setup to teardown, and getting gift boxes packed and shipped to VIPs across the country. Beyond that, you’ll be the hands and hustle behind our sampling programs, seeding drops, content shoots, and everything else that requires someone to physically show up and make it happen. This role is local to the Venice, CA area, involves travel, and is genuinely hands-on: if you don't like physical work, this isn't the role for you. What You'll Own Events & Activations Plan and coordinate logistics for events, pop-ups, and partner activations, from venue and vendor needs to run-of-show and timelines Support production of our Sharper Minds Speaker Series: guest list and RSVP tracking, day-of check-in, green room and talent hospitality setup, AV and run-of-show testing Handle event collateral production from end to end: coordinating print runs, quality-checking materials, and getting everything to the venue on time Travel to event locations to lead setup, run day-of operations, and handle teardown Be the face of Magic Mind on-site, greeting guests, managing vendors, and keeping the energy high Build out event experiences that feel distinctly Magic Mind, from signage and displays to sampling moments and guest touchpoints Own our event kit and asset library: signage, step-and-repeats, displays, and a ready-to-deploy setup for every activation Troubleshoot on the fly when event day inevitably throws a curveball Storage Unit & Inventory Management Run our storage unit day-to-day: organizing product and materials, tracking stock levels, and flagging reorder needs Keep the space clean, organized, and audit-ready at all times Coordinate inbound and outbound shipments, including receiving, unboxing, and restocking VIP Gifting, Seeding & Fulfillment Assemble VIP gift boxes to spec, with an eye for presentation and detail Pack and ship boxes on tight timelines, coordinating with carriers as needed Execute LA seeding drops: hand deliveries to talent, managers, and press across the city Support PR mailer campaigns from assembly through delivery confirmation Troubleshoot fulfillment issues and elevate when appropriate Field, Sampling & Production Support Run sampling moments at LA run clubs, wellness studios, gyms, and community events Support photo and video shoots on the ground: product wrangling, set logistics, and load-in/load-out Handle local vendor runs: print shops, fabricators, prop rentals, and last-minute pickups Coordinate with internal teams (marketing, ops, creative) so everything we put into the world shows up polished and on-brand Organic Social & Community Support Light social media management: Schedule and publish organic social posts, keeping the content calendar on track day to day Provide light day-to-day community management: monitoring comments and DMs, engaging with our community, and flagging anything that needs escalation Support light influencer and creator management: tracking seeding follow-ups, monitoring posts and mentions, and keeping relationships warm between drops About You You light up at the idea of event day. You're the person who shows up early to check the setup one more time and stays late to make sure teardown gets done right. You're just as comfortable driving a truck to a storage unit as you are working a room full of guests, and you bring the same energy to both. You're someone who gets satisfaction from a well-run operation and doesn't mind doing the physical work to make it happen. You're reliable, detail-oriented, and comfortable with a job that mixes spreadsheets with heavy lifting. Based in or able to commute to the Venice, CA area (hybrid role) Comfortable with manual labor: lifting boxes, loading/unloading vehicles, standing for extended periods Willing and able to travel for events, including some evenings and weekends Valid driver's license and comfortable driving a personal or rented vehicle for local logistics Preferred 1-3 years experience running or supporting live events, activations, or pop-ups 1-3 years experience with warehouse/inventory management and shipping/fulfillment (packing, labeling, carrier coordination) DTC, consumer brand, or experiential marketing background a plus Strong organizational skills and comfort juggling multiple moving pieces at once Culture Fit Genuinely energized by live events and being the face of a brand people love Mission-driven with real enthusiasm for representing Magic Mind in person Dependable and low-drama under pressure, especially on event days Natural problem-solver who doesn't wait to be told what needs fixing Language & Location Fluent English required (written and spoken) Must be based in or able to reliably commute to the Venice, CA area This is a hybrid role with regular in-person requirements for events, storage unit management, and gifting fulfillment, not a remote role with occasional office visits Compensation & Culture Competitive Package: Competitive cash compensation benchmarked to your market, plus meaningful equity in a fast-growing, profitable company with clear path to exit.
