PARALEGAL SUPERVISOR

Job Title: Legal Operations Supervisor 2 Job Code: 007381 Salary Grade: 23 Payscale: $120,000 – $142,000 per year, commensurate with experience Position Summary Provides advanced paralegal support for attorneys across multiple practice groups. Acts as liaison with internal clients, outside counsel, and external organizations. Compiles and analyzes data from various sources, assembles, proofs, and edits drafts of documents, and prepares and files legal documents with appropriate entities. Conducts research on projects directed by attorneys and performs other duties as assigned. Operates with a high degree of autonomy and develops new programs and processes. Provides direct supervision and guidance to other paralegal personnel. Responsibilities Paralegal Duties (60%) Provides highly complex analyses across broad practice areas, delivering in-depth research and specialist insights. Coordinates, analyzes, and assists with litigation and claims arising at UC campuses and medical centers, including strategy development. Interacts with all levels of University of California staff and external clients for information gathering. Researches legal matters, analyzes, and reports to attorneys; develops solutions for system issues such as Net Docs and CounselLink. Performs document reviews in response to subpoenas, discovery requests and public records acts, employing keyword and metadata searches and generating electronically stored information via eDiscovery platforms. Leads and participates on legal policy and planning committees and UC Legal practice working groups. Under direction of a UC Legal attorney, researches, reviews, interprets, and analyzes law, policy, legislation, and technical information. Provides summaries, analyses, recommendations, and positions to clients, outside counsel and UC Legal attorneys; researches best practices. Develops proposals and recommendations to guide broader strategic direction. Manages projects and leads staff to ensure accurate completion within designated time‑frames. Team Management and Leadership (40%) Mentors team members, provides constructive feedback, and supports continuous career development. Serves as a resource regarding legal terminology, jurisdiction, and procedure; works with attorneys to balance workloads. Conducts regular 1‑on‑1 meetings and performance review check‑ins with direct reports. Creates work schedules, assigns tasks, and manages workloads to meet deadlines. Addresses disputes and disciplinary issues fairly with manager guidance. Discusses process improvements, project status, and job‑related needs with the team. Works with direct reports on strategic initiatives and UC Legal goals to ensure compliance. Identifies development areas for self and team, creating training plans. Delegates work to team members as needed. Experience Minimum of eight years of relevant work experience and/or training. Required Qualifications Experience and mastery of significant legal knowledge in one or more practice areas represented within UC Legal’s Office of General Counsel, with eight years of progressively responsible paralegal experience in a commercial firm, government, or educational institution. Proficiency in MS Office Suite (Word, Excel, Access, PowerPoint), electronic mail, and the Internet; experience with data storage, retrieval, analysis, and report generation. Advanced research and analytical/problem‑solving skills to support practice areas and assemble proof‑read drafts. Strong communication and interpersonal skills for effective verbal and written communication with all staff levels. Strong research and problem‑solving skills, organizing information from various sources into comprehensive packages with excellent attention to detail. Ability to use discretion and maintain confidentiality. Preferred Qualifications Supervisory experience with clerical staff or a combination of training, education, and experience. Strong planning and organizational skills for effective staffing. Knowledge of eDiscovery software such as Relativity and Logikcull. Knowledge of UC protocols and procedures. Ability to multi‑task with demanding time‑frames. Education Bachelor’s degree in a related field or equivalent experience/training. Special Conditions The person hired must reside within California and report to work on site at UCOP, Oakland, CA. Employees are required to work on site at least two days per week—Tuesday and Wednesday. In exceptional circumstances, candidates may be considered for a fully remote arrangement if approved by the General Counsel.
