The Position We’re looking for a Construction Project Manager with minimum five (5) years of experience working in the healthcare sector (hospitals/clinics) to join our team supporting our Federal, Municipal, Commercial, and Industrial markets. Healthcare Construction Project Manager Job Description Viking’s Project Managers are one of the primary client-facing components of our management staff. They are responsible for every aspect of a project’s lifecycle including the performance of their direct reports, superintendents, subcontractors, consultants, Viking employees, and any other parties under Viking’s management. Project Managers prioritize the financial health of their projects and the satisfaction of our clients. Our Project Managers are also directly responsible for propagating and encouraging Viking’s core values of People, Positive, Performance on every job that they manage. Under the direction of the Construction Operations Manager, and in close coordination with the Project Superintendent, Site Safety & Health Officer, Quality Control Manager, Project Estimator, and Project Engineer, the Project Manager works to: Administrative BUDGET & FINANCIALS: Create and manage the project budget. Develop and maintain project financial projections and equipment projections. Identify cost codes, approve invoices, and make necessary budget management decisions. Direct and manage prime contract billings to the Owner Representative as well as the collection, evaluation, and proper coding of Subcontractor and vendor billings. Handle billing and contract management, including contract buyouts. MARGIN MAXIMIZATION: While still ensuring that all team members adhere to Viking’s core values and mission especially as they pertain to client satisfaction and the delivery of a quality product, manage the buyout and performance of each project to facilitate both the immediate and long-term success of the company through the realization of maximum feasible margin. SCHEDULES: Direct and manage Superintendent and Project Engineer team in the creation, verification, distribution, updating, tracking, and maintenance of project schedules. Take necessary action to ensure project schedules are maintained and communicated to the appropriate parties in a timely and regular fashion. Direct appropriate action, as required, to recover slippage and lost time. Prevent and mitigate negative financial impacts related to project schedules. Maintain constant communication with all affected individuals. CLIENT INTERFACE: Function as the main point of contact with the owner and on-site representative. Provide frequent interactions and service to build positive relationships and future work opportunities. Work to quickly resolve site concerns for the Owner and/or Owner’s Representative. Actively work to meet or exceed client’s expectations to deliver projects on time and within budget. PROJECT ENGINEER MANAGEMENT: Direct Project Engineers assigned to projects. Provide job assignments and facilitate career development. Provide ongoing feedback on work performance, and actively engage in improving the performance of each Project Engineer. EXECUTIVE REPORTING & FEEDBACK: Provide Construction Operations Manager (COM) and Viking Executives with effective real-time feedback on the performance of your projects in relation to financial performance, schedule, quality, risk, productivity, and safety, and general aspects of the project. This includes regular and timely submission of data required to complete monthly Work In Progress (WIP) reporting. CONTRACT DOCUMENTS, DRAWINGS & SPECIFICATIONS: Direct the collation, maintenance, distribution, understanding and interpretation of contract documents including project drawings, specifications, take-offs, bonding/insurance documents, and details for subcontractors and craft persons. Ensure maintenance of a Single Source of Truth (SSOT) in regards to all contract documents that represent the only source authority on how to build the project and includes clearly annotated and linked current versions of all relevant changes including RFI responses, Architect’s Supplemental Instructions (ASIs), change directives, change orders, schedules, logistics plans, and other relevant changes. CHANGES: Lead and manage Superintendents and Project Engineers in tracking and managing changes, including ensuring that all change events are created as required, all required notifications are provided to the owner in a timely manner and in accordance with the contract requirements, all Rough Order of Magnitude (ROM) pricing is prepared for all changes, all Requests for Proposal (RFPs) are distributed to subcontractors as appropriate, all pricing is prepared and submitted as required, and all change orders and contract modifications both upstream and downstream are properly executed. Ensure deadlines are discussed and agreed upon with the Owner Representative. Ensure that all changes are reflected in both the project budget and the WIP. The Project Manager is ultimately responsible for ensuring that the company is appropriately compensated for any and all contract changes. SUBCONTRACTS & PURCHASE ORDERS (POs): Direct and manage the review, maintenance, execution, tracking, and completion of scope under Subcontracts and POs. Ensure subcontractor compliance with all contract requirements including performance requirements, insurance requirements, wage compliance, and other technical, legal, and administrative requirements of the subcontract. Manage buy‑out/procurement of non‑contracted materials and equipment. Ensure proper completion of service and/or delivery of products under all commitments is in strict accordance with Viking’s Terms and Conditions. SUBMITTALS: Direct and manage the maintenance of Submittal Logs in accordance with contract documents, and direct and manage your staff in executing requests, assignments, collection, submission for approval, maintenance, and other activities related to all submittals, including pre‑construction submittals, product submittals, and closeout submittals. Provide updates on submittal status to the Owner Representative at OAC Meetings or as agreed upon by both parties. Provide Quality Assurance to your staff including Project Engineers and Superintendents to ensure that their Quality Control system as it relates to submittals is functioning appropriately and that the final product strictly complies with contract requirements. REQUESTS FOR INFORMATION (RFIs): Manage and delegate the creation, distribution, tracking, and implementation of RFIs with the assistance of the Superintendent and Project Engineer as needed. Ensure all RFIs have been captured on contract documents for record keeping and closeouts. MEETINGS: Direct and manage Project Engineer and Superintendent in the scheduling and coordination of project meetings, including creation, recording, and distribution of meeting agendas and minutes. Address major issues as needed in project meetings. PROCUREMENT: Direct and manage Project Engineer and Superintendent in the pricing, procurement, logistics, delivery, and tracking of all materials, equipment, ancillary services, and related items. Ensure procurement meets budget expectations for the project. Work to prevent cost overruns and mitigate negative financial impacts to the firm when cost overruns occur. Implement measures to recover profitability to projects. DOCUMENTATION: Ensure proper documentation of all project-related communications, including daily logs, records of conversation, transmittals, safety plans, phasing plans, schedules, signage, and other materially significant project communications. PROJECT STATUS REPORTS (PSRs): Direct and manage Project Engineer in the regular and timely preparation and distribution of Internal PSRs for Executive Managers and External PSRs for Owner’s Representatives, Architects, and Subcontractors as appropriate. PROJECT EXECUTION PLANS (PEPs): Direct, assist, and provide oversight to Project Engineer, Superintendent, Quality Control Manager, and Site Safety & Health Officer in the creation, distribution, maintenance, updating, and implementation of PEPs including Logistics Plans, Phasing Plans, and other project-specific plans. SECURITY & ACCESS: Ensure proper site access by assigning to PEs coordination of all security badging activities and notification & scheduling activities related to security and access. Confirm acceptance with Facilities personnel and Owner’s Representatives. CLOSEOUT: Manage project closeout phase by requesting, collecting, collating, and transmitting all project closeout submittals as required by contract. Provide assistance and direction to the Project Engineer in the completion of all internal project closeout requirements as detailed in the Master Project Business Process Map Checklist. Quality Control (QC) QC PLANS: Assist the Quality Control Manager and direct and assist the Project Engineer and Superintendent in the creation, distribution, maintenance, updating, and implementation of Design and Construction Quality Control Plans. SUBMITTAL REVIEW: Provide Quality Assurance to your staff including Project Engineers and Superintendents to ensure that their Quality Control system as it relates to submittals is functioning appropriately and that the final product strictly complies with contract requirements. PERMITS: Direct and manage processes to apply for, receive, track, maintain, post, and ensure successful closure of all Permits, including Government Permits such as Building Permits, Street Closure Permits, Right of Way Permits, and Trade Permits, as well as Owner Permits such as Utility Shutdown Requests, Confined Space Entry Permits, Above-Ceiling Work Permits. This work should be completed in conjunction with the Superintendent, Quality Control Manager, Site Safety & Health Officer, and Project Engineer. PUNCH LISTS & REWORK: Direct and assist Superintendent and Project Engineer with the creation, tracking, approval, and closeout of all punch list and rework items. Ensure determination of root cause for all punchlist and rework items through root cause analysis process. Ensure resulting lessons learned are incorporated into Viking processes moving forward as part of the firm’s Continuous Improvement Process (CIP). INSPECTIONS & TESTING: Direct and assist Superintendent and Quality Control Manager as needed to schedule, coordinate, record, report, and close out all inspections and testing. Environmental, Health & Safety (EHS) EHS PROJECT EXECUTION PLANS (PEPS): Direct and assist the Project Engineer, Superintendent, and Site Safety & Health Officer in the creation, distribution, maintenance, updating, and implementation of EHS Project Execution Plans (PEPs) including, but not limited to: Site Specific Safety & Health Plans, Accident Prevention Plans, infection Control Risk Assessments (ICRAs) and Proactive Construction Risk Assessments (PCRA), task-specific plans (Fall Protection Plans, Crane Lift Plans, etc.), Activity Hazard Analysis. HAZARD COMMUNICATION: Direct and assist the Project Engineer, Superintendent, and Site Safety & Health Officer in the collection, organization, and effective use of required Safety Data Sheets (SDS) and the corresponding Hazard Communication Inventory. EHS DOCUMENTATION: Working closely with Project Engineer, Superintendent, Site Safety & Health Officer facilitate the creation, distribution, collection, and storage of all EHS related project documentation, including but not limited to: EHS plan components, activity hazard analysis, hazard communication inventory and SDS, inspection records, orientation records, training records, meeting records, disciplinary records, incident/accident/near miss records, investigation records, and waste tracking reports. AUDITING/COMPLIANCE: Assist Viking’s EHS initiatives by ensuring onsite compliance through EHS inspections that become part of the project record.

REQUIREMENTS

Proven experience as a commercial construction project manager Valid Driver’s License and clean driving record Ability to pass Federal background check Ability to work independently A passion for working collaboratively Demonstrating experience in leading and mentoring in project tasks In-depth knowledge and understanding of construction procedures and project management principles Outstanding communication and negotiation skills Ability to interpret Viking’s policies Knowledge of GSuite, Bluebeam, Procore, and/or pertinent web application skills at an intermediate level

CLASSIFICATIONS

Project Managers at Viking have varying backgrounds, qualifications, and experience. In order to account for these differences, we have created a classification scale for this position ranging from I through III. Project Managers are assigned a classification based on each individual’s command of the requirements listed above and the characteristics included under the Attached Classification Matrix. Each individual will be evaluated against the requirements to determine their level of achievement within their classification. Based on the results that will be determined through evaluation, a Professional Development Plan will be created to provide an individualized roadmap for each employee to achieve advancement within their current classification as well as the steps needed to achieve promotion to the next classification.

Individuals filling a Project Manager position are able to develop within the position by gaining the skills, qualifications, and experience necessary to move through Project Manager classifications I through III.
