Job Overview

The Sales Operations Coordinator exists to solve one of the company's biggest operational challenges: getting proposals built and out the door quickly, and keeping procurement and vendor management organized and on track. Today, that work is split across a team member who is also responsible for system design, which creates delays. This role takes that work off their plate entirely.

You'll take finished system designs and turn them into complete, accurate proposals, then own procurement and vendor coordination from there, tracking materials, purchase orders, and job costing until each project is fully outfitted. You'll work closely with the company's system designer and its broader operations team, and you'll be trusted with real financial judgment, including holding the line on purchases until funding is confirmed.

The right person is a disciplined, detail-oriented communicator who isn't afraid to ask questions, push back when something doesn't add up, and keep multiple proposals moving at once without letting any of them stall.

Responsibilities

• Build and finalize project proposals and quotes, working directly from completed system designs
• Manage day-to-day procurement and vendor relationships, sourcing and ordering materials for active projects
• Track inventory, purchase orders, and job costing to keep materials organized and on schedule
• Hold the line on purchasing, ensuring materials are only ordered once funding is confirmed
• Communicate proactively with the design and operations teams to keep proposals and orders moving without unnecessary delay
• Help reduce proposal turnaround time by working quotes efficiently and accurately
• Travel occasionally (about 10-15% of the time) to the Spicewood office for training and project site visits

Qualifications

Required Qualifications

• Highly detail-oriented, with strong follow-through on documentation, quoting, and purchase tracking
• Excellent communicator who asks questions rather than assuming, and is comfortable speaking up
• Naturally curious and quick to pick up new software platforms
• Comfortable working in project management and quoting software
• Local to the Houston, TX area, with the ability to travel occasionally to the Spicewood office

Preferred Qualifications

• Background in warehouse management, procurement, purchasing, or another operations-focused role
• Experience in construction, custom home building, or another project-driven industry
• Direct experience in custom integration, low voltage, or residential technology is a plus, but not required
• Familiarity with D-Tools or similar proposal and project management software

Compensation

$50,000 to $60,000 annually, depending on experience.
