Job Description:\n\nPOSITION SUMMARY\nThe Academic Program Support Specialist (APSS) serves CCA’s Division of Academic Success, providing excellent customer service with front desk and administrative support services to academic leadership, department chairs, faculty, instructors, staff, and students. The specialist possesses a general understanding of higher education and demonstrates strong administrative, organizational, project coordination, and problem-solving skills. This person is able to perform tasks both autonomously and as a team, with keen attention to detail and the ability to adapt to unexpected changes. The specialist interacts effectively with constituents and stakeholders from varied backgrounds, both inside and outside the college in a variety of mediums (face-to-face, online, and over the phone). This person also provides liaison services to college-wide personnel through excellent communication and project management skills. The ideal candidate enjoys solving problems, learning new systems, building relationships, and contributing to a collaborative team dedicated to student success and operational excellence.\n \nOVERVIEW OF CCA \nThe Community College of Aurora serves our diverse community by providing high-quality instruction and support services to prepare students for transfer and employment. The college centers diversity, equity, and inclusion and we actively seek to employee partners who want to join us in working to reducing outcome gaps among our diverse student population.\n \nDUTIES & RESPONSIBILITIES: \nAdministrative and Customer Service\n\n Provide exceptional customer service while exercising sound judgment, professionalism, and discretion when responding to a variety of situations and constituent needs.\n Serve as a liaison between academic departments, staff, and students, facilitating effective communication and problem-solving\n Support academic operations by handling inquiries, scheduling meetings, placing work orders, supporting official functions, and restocking instructor supplies\n Manage administrative tasks and projects, demonstrating strong organizational skills and the ability to work both independently and collaboratively\n Adapt quickly to changing priorities and unexpected challenges while maintaining high-quality work standards and positive customer relationships.\n Maintain detailed and accurate records using appropriate administrative systems and databases\n\n \nProject and Event Coordination\n\n Support the coordination of professional development activities, including participant registration, communications, event logistics, and processing payment requests after submission.\n Assist with multiple concurrent projects and events while balancing competing priorities and deadlines.\n Support campus events through space reservations, catering coordination, purchasing, and attendee management.\n Support cross-functional initiatives involving multiple departments, requiring collaboration, communication, and project management skills.\n\n \nFiscal and Reporting\n\n Procurement archiving, reallocation, and reporting.\n Analyze and prepare reports from enterprise systems (e.g., Banner) to support operational and programmatic decision-making.\n Utilize various office technologies and software to enhance administrative efficiency and support academic processes\n Demonstrate curiosity and initiative in learning new systems, processes, and technologies while continuously improving knowledge of college operations.\n\n \nCommunication\n\n Build and maintain collaborative working relationships across multiple departments and functional areas.\n Support communications related to academic support services, professional development, and student success initiatives.\n Create well-written and well-designed documents for distribution\n\n \nGrowth and Curiosity\n\n Demonstrate intellectual curiosity by learning new processes, asking thoughtful questions, and identifying opportunities to improve services and operations.\n Participate in professional development relevant to the position responsibilities.\n Participate in occasional evening or weekend events as operational needs require.\n\nOther duties as assigned.\nREQUIRED QUALIFICATIONS:\n\n Associate’s degree \n\n or\n\n One (1) year experience in a work setting related to a higher education department\n Excellent written and verbal communication skills\n Professional demeanor, patience, and ability to balance customer service with accuracy/detail.\n Proven problem-solving and decision-making skills\n Proficiency with Microsoft Office suite\n Demonstrated ability to organize, prioritize, and successfully manage multiple competing responsibilities in a fast-paced environment.\n\n \nPREFERRED QUALIFICATIONS\n\n Experience in higher education or student services.\n Experience planning meetings, events, or professional development activities.\n Experience with Banner, D2L, Wrike, or comparable enterprise systems.\n Intermediate Microsoft Excel skills.\n Experience managing budgets or financial records.\n\n \n \n \n \n \n \n SUPPLEMENTAL INFORMATION\n Salary Range: Anticipated salary range is $52,508.84- $60,385.17 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information.
