Position Summary

The Director of Finance and HR leads Freedom Flooring's financial administration, human resources, and office administration. This hands-on role works closely with ownership, estimating, and the purchasing department to maintain accurate records, strengthen administrative processes, control costs, and improve profitability.

Key Responsibilities

Finance and Accounting

• Oversee daily accounting processes, including accounts payable, accounts receivable, collections, and accurate records in QuickBooks Online and FloorZap CRM.
• Coordinate payroll processing and verify information with the company's payroll accountant.
• Monitor cash flow and assist ownership with budgeting and forecasting.
• Work with the CPA/bookkeeper on tax filings, year-end reporting, and accounting matters.

Business Analysis and Profitability

• Analyze expenses, job costs, gross margins, and overhead to identify trends, savings opportunities, and break-even requirements.
• Work with Purchasing to evaluate vendor pricing, purchasing accuracy, and material costs.
• Prepare financial reports and dashboards that compare results with budgets, historical performance, and company goals.
• Help leadership evaluate new business opportunities and recommend improvements to financial performance.

Human Resources

• Coordinate onboarding and maintain confidential employee records.
• Administer employee benefits, retirement plans, and paid time off.
• Support management with job offers, reviews, disciplinary documentation, and terminations.
• Maintain the employee handbook and help ensure policies are communicated and consistently applied.
• Serve as an employee resource for payroll, benefits, and policy questions, coordinating with outside professionals as needed.

Compliance and Administration

• Track business licenses, registrations, certifications, and insurance renewals.
• Maintain company, employee, and subcontractor documentation, including contracts, leases, W-9s, 1099 information, certificates of insurance, and sales tax exemption certificates.
• Coordinate insurance and payroll audits, workers' compensation claims, and related documentation.
• Help address employment, payroll, and business compliance requirements with ownership and outside professionals.
• Improve administrative systems and follow through on missing documentation, deadlines, and identified issues.

Qualifications and Key Attributes

• Relevant experience in financial administration, accounting, office management, or HR.
• Strong understanding of accounting processes and financial analysis; payroll and benefits experience preferred.
• Proficiency in Microsoft 365, particularly Excel; QuickBooks Online experience preferred.
• Ability to interpret financial information and communicate practical recommendations.
• Trustworthy, organized, analytical, and detail-oriented, with sound judgment when handling confidential information.
• Strong communication skills and the ability to work independently, manage priorities, and solve problems proactively.
• Experience in flooring, construction, or another service or trade business is a plus.
