Project Accounting Specialist

Essential Duties and Responsibilities: This positionis responsible forthe following: Other duties may be assigned. Assign project numbers for new entries inCustomer Relationship Management (“CRM”), set up projectnumberand open SharePoint site.Send the project number and link to the SharePoint site to the Project Manager. Obtain Sales Tax Exemption certificates for new customers or vessels. Open/close projects in theJamis Prime ERPsystem(“Prime”)andmaintainproject documentation including customer purchase orders,prejobbudgets, etc. Set up project budgets in Prime and run the Cost Summary Report to confirmthatbudgets were setupcorrectly.Continually update project budgets as work scopes are added or revised. Coordinate with otherfacilitiesfor shared projects, including confirming item set-up and budgets. Assist Project Managers with ongoing project reporting, costreviewand cost correction, including preparing Earned Value Reports for fixed price projects. Monitor actual costs compared to budgeted costs and notify the Project Managers of any potential issues. Respond to customer requests foradditionalinformation. Attendprojectmeetingswith project managers and customers asneeded. Process customer billings usingPrimeand Microsoft Excel.For Time & Material (T&M) and Cost-Plus projects, accumulate all supporting documentation (signed timesheets, etc.) to attach to the customer invoice.File the customer billing along with appropriatebackupinSharePoint& Prime. Process revenue for month end and document revenue calculations. Contact customerstocollectoutstanding invoices andassistwith customerquestions. Attend the weekly collections meeting to update management on the status of unpaidinvoices. Assistin the preparation and update ofProject Cash Flow forecasts. Perform other duties asassigned. Required Education & Experience: High school education or equivalent Some college courses in business, Accounting or Financeare preferred. Five years of billing,accountingor equivalent experiencerequired. Billing or accounting experience in an environment that uses Job Cost Accounting preferred. Computer literate, including advanced skills using Microsoft office (Word, Excel, Outlook) and experience withaccountingsoftware. Working Conditions: Mustpossessmobility to work in a standard office setting and use standard office equipment, including a computer, and to attend meetings at varioussites. Mobility to climb up and down stairs all day, as needed. Health,transportation,and family arrangements to attend work every weekday from 8 am to 5 pm and work on the weekends, asneeded. Strength to lift and carry materials weighing up totwenty(20)pounds. Vision to read printed materials and a computer screen, including the ability to look at a computer screen for at least eight hours eachday. Hearingandspeech to communicate in person and over thetelephone. Regular exposure to all weather conditions, especially hot,humid,and/or rainy weather, combined with regular work time indoors in environmentally controlledconditions. Necessary Equipment Operation: Office equipment, including telephone, scanner, computer,printer. Special Skills: Excellent interpersonal and communication skills.
