Investor Relations Coordinator

POSITION SUMMARY

Capital Solutions, Inc. is a real estate private equity firm specializing in preferred equity investments, multifamily development, assisted living, student housing, and mixed-use repositioning nationwide. We are seeking an experienced and polished Investor Relations Coordinator to serve as the primary interface between the firm and its investor base.

This is a high-visibility, relationship-driven role that requires equal parts financial fluency, operational precision, and professional communication. The Investor Relations Coordinator will own the full investor lifecycle — from initial fundraising support and subscription document execution through ongoing reporting, portal management, distributions, and tax coordination. The ideal candidate has direct experience in real estate private equity, fund management, or financial services environment and understands the expectations of sophisticated investors.

KEY RESPONSIBILITIES

INVESTOR COMMUNICATIONS & RELATIONSHIP MANAGEMENT

• Serve as the primary point of contact for investors, maintaining timely, accurate, and professional communication across all channels

• Build and manage long-term investor relationships, representing the firm with discretion and professionalism

• Coordinate, schedule, and run investor meetings — including agenda preparation, materials assembly, technology setup, and follow-up

• Manage and respond to investor inquiries, transfer requests, and account updates

FUNDRAISING SUPPORT & CAPITAL TRACKING

• Support active fundraising efforts by coordinating investor follow-ups, tracking prospects, and maintaining pipeline discipline

• Manage and maintain the firm’s investor fundraising tracking sheet, ensuring real-time accuracy of commitments and status

• Track and reconcile cash receipts from investors against subscription commitments

• Input new investor investments into the firm’s Investment Management Software (IMS) and maintain the accuracy of all investor records

• Maintain the firm’s escrow account, ensuring proper receipt, tracking, and disbursement of investor funds in coordination with counsel and management

CRM, INVESTOR PORTAL & TECHNOLOGY

• Maintain and update the firm’s CRM within IMS, ensuring investor profiles, contact records, and investment data are current and complete

• Administer and manage the investor portal, including user access, document posting, and ongoing maintenance

• Manage and update the firm’s website, coordinating content changes with management and outside vendors as needed

SUBSCRIPTION DOCUMENTS, PPMs & FUND ADMINISTRATION

• Create, code, and manage investor subscription documents for each offering, coordinating execution through the electronic signature process

• Aggregate Private Placement Memoranda (PPMs) and coordinate timely and accurate delivery to prospective and current investors

• Assist with investor distributions and memos

• Assist with investor transfer requests and maintain accurate records of all ownership changes within IMS

INVESTOR REPORTING & TAX COORDINATION

• Assist and distribute bi-annual investor reports in accordance with firm standards, ensuring accuracy of financial data and professional presentation

• Produce ad hoc investor reporting as requested by management or investors

• Run and facilitate internal portfolio meetings, including agenda preparation, materials distribution, and technology coordination

• Support annual tax reporting processes, including coordination of K-1 preparation and delivery to investors in partnership with the firm’s accounting team and outside CPA

REGULATORY & COMPLIANCE

• Maintain and update the firm’s Form ADV, coordinating annual amendments and interim updates with outside compliance counsel as required

• Ensure investor documentation, subscription records, and reporting processes remain consistent with applicable regulatory requirements

• Maintain organized and audit-ready investor files, both electronic and physical, in compliance with firm recordkeeping standards

QUALIFICATIONS

Required

• 4+ years of experience in investor relations, fund administration, or financial services operations within a private equity, real estate, or investment management firm

• Direct experience communicating with and managing relationships with accredited investors or institutional capital partners

• Proficiency with investment management or CRM platforms (IMS, Juniper Square, Agora, Yardi, Salesforce, or equivalent)

• Strong working knowledge of subscription documents, PPMs, and private fund investor documentation

• Proficiency with Microsoft Office Suite, with advanced Excel skills for financial tracking and reporting

• Exceptional written and verbal communication skills with a polished, professional presentation

• High level of discretion in handling confidential investor, financial, and legal information

• Demonstrated ability to manage multiple time-sensitive workstreams simultaneously

Preferred

• Experience with Form ADV preparation and RIA compliance requirements

• Familiarity with K-1 / tax reporting processes in a real estate fund context

• Experience managing an investor portal platform

• Working knowledge of real estate private equity fund structures (LP/GP, preferred equity, waterfall mechanics)

• Active Notary Public commission in the Commonwealth of Pennsylvania (or willingness to obtain)

COMPENSATION & BENEFITS

• Base Salary: Commensurate with experience

• Discretionary Annual Bonus awarded based on corporate performance and management discretion
