Compliance Coordinator

The Compliance Coordinator supports the administration of the organization's safety, risk management, regulatory compliance, and asset management programs. This position assists in maintaining compliance with organizational policies, state and federal regulations, insurance requirements, and risk management standards. The Compliance Coordinator serves as a key administrative and operational resource for the Safety & Risk Management Department by coordinating training records, managing compliance documentation, maintaining asset inventories, tracking vendor insurance requirements, supporting incident reporting processes, and assisting with departmental purchasing and budget administration. This position is designed as a developmental role with opportunities for increased responsibility and advancement within safety, compliance, risk management, and emergency management functions. Salary will be commensurate with the education, qualifications, and experience outlined in this job description.

Essential Duties and Responsibilities

Safety Training Administration

• Coordinate and maintain employee safety training records and databases.
• Schedule training sessions and communicate training requirements to employees and supervisors.
• Monitor training completion status and generate compliance reports.
• Assist with onboarding and annual compliance training programs.
• Maintain documentation required for regulatory inspections and audits.

Vendor Compliance and Certificates of Insurance (COIs)

• Track, review, and maintain vendor Certificates of Insurance.
• Monitor insurance expiration dates and follow up with vendors to obtain updated documentation.
• Verify insurance coverage meets organizational requirements.
• Maintain vendor compliance files and related records.
• Assist departments with contractor and vendor compliance requirements.

Louisiana Office of Risk Management Compliance Support

• Assist with submission and maintenance of documentation required by the Louisiana Office of Risk Management (ORM).
• Maintain records associated with claims, incidents, and risk management reporting requirements.
• Support compliance initiatives related to state insurance and risk management programs.
• Assist with audit preparation and record retention requirements.

Asset Management and LPAA Compliance

• Maintain asset inventories and supporting documentation.
• Assist with tagging, tracking, transferring, and disposition of organizational assets.
• Support compliance with Louisiana Property Assistance Agency (LPAA) requirements.
• Conduct periodic audits and reconcile inventory records.
• Prepare reports related to asset accountability and compliance.

Incident and Accident Reporting

• Assist with administration of incident, accident, and near-miss reporting systems.
• Maintain incident documentation and supporting files.
• Track corrective actions and recommendations resulting from investigations.
• Prepare summary reports and compliance metrics.
• Support recordkeeping requirements associated with workers' compensation, general liability, and property claims.

Purchasing and Fiscal Support

• Generate and track purchase requisitions and purchase orders.
• Maintain departmental purchasing records.
• Monitor budget expenditures and assist with invoice processing.
• Coordinate procurement of safety equipment, supplies, and services.
• Assist with contract and vendor documentation management.

Compliance Administration

• Maintain departmental records, databases, spreadsheets, and filing systems.
• Assist with internal audits, inspections, and compliance reviews.
• Prepare reports, correspondence, presentations, and documentation.
• Track compliance deadlines and regulatory requirements.
• Support emergency preparedness, business continuity, and risk management initiatives.

Other Duties

• Participate in safety inspections and assessments as assigned.
• Assist with special projects and departmental initiatives.
• Provide administrative support during emergency incidents and organizational response activities.
• Perform other duties as assigned in support of the Safety & Risk Management Department.

Qualifications, Educational Requirements, & Experience

Required:

• High School Diploma or GED with two years of administrative experience in compliance, records management, safety, risk management, insurance, human resources, office management, or related experience.

Preferred:

• Bachelor's degree in safety management, Risk Management, Business Administration, Emergency Management, Public Administration, English, or a related field with four years of experience supporting compliance, safety, risk management, training administration, insurance programs, procurement, office management or asset management functions.

Preferred Qualifications

• Experience managing training records and Learning Management Systems.
• Experience reviewing Certificates of Insurance.
• Experience with asset inventory management systems.
• Knowledge of Louisiana Office of Risk Management reporting processes.
• Familiarity with Louisiana Property Assistance Agency (LPAA) requirements.
• Experience assisting with audits or regulatory compliance programs.
• Experience in Office Management

The employee must have the ability to hear sounds at a normal speaking level with or without correction, including the ability to receive detailed information through oral communication and to make fine discriminations in sound.
