This entry-level role will have varying office hours. Routine office duties include assisting with answering telephones, filing and distributing paperwork; data entry, research, arranging meals, processing receipts, photocopying, general office administration and employee equipment deliveries. The Production Assistant is responsible for ensuring equipment arrives on time to and from remote employees and/or freelancer residences via their personal vehicle. They report directly to the Office Manager but touches every department, so a presentable appearance as well as professional demeanor is required. Those that excel in this field possess an entrepreneurial spirit, keen sense of organization and attention to detail. This person must work in our office everyday (Monday-Friday).Job ResponsibilitiesOrganize company lunches & dinnersClient services, including onsite visitor coordinationMaintain presence in reception area and greet visitors and employees in a courteous and professional manner; attend to questions and requests appropriatelyAnswer multi-line telephone system, determine caller's needs and route to appropriate department or individual and/or take messages when appropriateMaintain security protocols of building at all times for both staff and guestsIntake of all office mail and proper distribution when applicableFacilitate the processing and distribution of parking tags and parking badgesPerform opening procedures: turning on lights, preparing coffee, organizing office to ensure all areas are presentable and cleanEnsure cleanliness throughout all spaces; ensure all furniture appears tidy to maintain a presentable appearance for clients and visitors by adhering to Facilities health & safety procedures, rules and regulationsMonitor and maintain kitchen, bathroom, and office supplies. Order as neededCommunicate with facility services and/or landlord on facility needs and follow up on any delaysDeliveries and pickups as required (Must have valid driver's license and vehicle, mileage reimbursed)Assist in as needed projects across departmentsProvide support to the Assistant Editorial department in completion of dialogue breakdowns within Adobe Premiere programRequired SkillsMust have an interest in a career in Creative and Post ProductionMust have a valid driver's license AND a vehicle (mileage is reimbursed)Strong proficiency in G-suiteExcellent written and oral communication skillsImpeccable organizational, attention to detail and time-management abilitiesMust be highly motivated, proactive, organized, and a team playerAble to maintain a pleasant and calm demeanor in the face of stressful situationsAvailable to work a flexible schedule including potential overtime with little to no noticePrevious runner/PA experience preferredCollege degree in Creative Field or Film Editing/Production a plusKnowledge of Adobe Premiere a plusMust be able to lift/push/pull to 40 lbs on an occasional basisFrequently use hands to manipulate equipment or mediaFrequently typing on a keyboardFrequently sitting and performing desk workSeeing and reading without difficulty (with or without personal corrective aides)Frequently reaching and pullingMust be able to climb stairs to perform workPay Range: $18.42 - $18.42 USDDisclosures: In order to adjust to changes in our business, it may become necessary to add, remove or modify certain duties and responsibilities, or to reassign you to another job position.
