Bid Coordinator

POSITION SUMMARY:  The main responsibility is to assist the Estimator with the administrative duties involved in proposals and estimates. Organization, attention to detail and ability to work within tight time constraints and work well with other departments are all important for this position. 

DUTIES:

• Responsible for updating and maintaining current bid schedule
• Create bid/job folders, scan and save all quotes, specifications, drawings, and addendums.
• Maintains all quotes.
• Post bid documents on bidding sites, follow up with MWBE vendors, making phone calls to clients and emailing MWBE bid solicitations out.
• Assist with creating and preparing bid proposal spreadsheets and minority worksheets.
• Photocopies documents and plans
• Prepares bid calendar and ensures timely completion of estimates.
• Develops and maintains resource information on products, vendors, subcontractors, government requirements, etc.
• Attending pre bid meetings and department meetings as required.
• Assist as needed with pre qualifications
• Additional duties to include; set up and keep bid conference room clean and organized at all times. Maintain copy/file room by making sure copy machines are kept organized.
• Order office supplies for bidding department and run errands for department as necessary.
• Deliver bids with accurate and complete information
• Must be able to effectively cope with typical job stress.
• Ability to multi task, prioritize and accomplish multiple demanding responsibilities at once.
