Job Purpose The Board Program Coordinator supports governance, stakeholder engagement, and Board-affiliated initiatives administered through the Office of the Secretary, including the Board of Visitors Program, Trustee Alumni Leadership Academy, and TCIAC, an advisory group that supports identification of candidates for volunteer opportunities across the University. The Coordinator serves as a central point of coordination across Board-affiliated initiatives, supporting participant engagement, operational continuity, communications, and program administration and provides broad support for Board operations, governance activities, meetings, and special initiatives sponsored by the Office of the Secretary. This position requires a highly organized, professional, and collaborative individual with strong communication, program management, and project coordination skills, as well as the ability to manage sensitive information and multiple priorities in a fast-paced and highly confidential environment. Nature And Scope The Coordinator supports the administration and operational execution of Board-affiliated programs and stakeholder engagement activities managed through the Office of the Secretary. The role requires regular interaction with trustees, volunteers, alumni, University leadership, and external stakeholders, and supports governance-related communications, engagement tracking, meetings, and special initiatives. Relative to the Board of Visitors Program, the Coordinator reports to the Director of Strategic Operations for the Board of Visitors. Relative to the Trustee Alumni Leadership Academy, TCIAC, and Board support functions, the Coordinator reports to the Senior Associate Secretary. Supervisory Accountabilities N/A Principal Accountabilities Board of Visitors Program Support the administration and ongoing operations of the University’s Board of Visitors Program, including: Supporting Board of Visitors meetings, engagement activities, and related initiatives Supporting the full membership lifecycle, including onboarding, renewals, and participant tracking Assisting in maintaining aligned and consistent processes across Schools and Colleges Maintaining operational records, templates, trackers, and reporting tools Assisting with special programs and convenings, including the Biennial Congress Supporting communications and stakeholder engagement activities related to the program Trustee Alumni Leadership Academy Provide coordination and operational support for the Trustee Alumni Leadership Academy, including: Supporting Academy sessions, meetings, and engagement activities Assisting with communications, participant engagement, and scheduling coordination Supporting speaker and facilitator coordination Managing program records, applications, and cohort tracking Supporting ongoing program administration and related communications TCIAC Provide administrative and operational support for TCIAC and related governance initiatives, including: Supporting governance-related meetings and stakeholder engagement activities Maintaining records and tracking prospective volunteer and governance candidates Supporting candidate pipeline management and related matters Board and Office of the Secretary Support As a member of the Office of the Secretary team, the Coordinator supports Board operations, governance activities, and executive-level initiatives sponsored by the Office of the Secretary. Responsibilities include supporting Board and committee meetings, retreats, and special events; coordinating materials and communications; facilitating cross-functional coordination; and assisting with governance-related projects and special initiatives. Data Management and Communications Support the administration of Board initiative databases and engagement tracking systems, including maintaining records, supporting reporting processes, and assisting with participant and engagement tracking across Board-affiliated initiatives. Support communications and operational coordination related to Board initiatives, including correspondence, meeting and event coordination, materials preparation, calendar management, and stakeholder follow-up. Core Competencies Governance and stakeholder support Program and project management Relationship management Written and verbal communication Organization and prioritization Confidentiality and discretion Event and meeting coordination Problem-solving and adaptability Cross-functional collaboration Minimum Qualifications Bachelor’s degree required Minimum of 5–7 years of professional experience in program coordination, program management, operations, stakeholder engagement, governance administration, or related fields Experience supporting boards, executive leadership, or governance bodies strongly preferred Strong organizational, communication, program management, and project coordination skills Demonstrated professionalism, discretion, and sound judgment Ability to manage multiple priorities and work effectively under deadlines Proficiency with Microsoft Office Suite, Adobe Acrobat, database systems, and related administrative technologies Compliance Salary Range Disclosure Expected Salary Range: $80,000 - $85,000 #J-18808-Ljbffr
