Job Description
A respected wealth management company in Northbrook is seeking an Executive Assistant to support a Private Wealth Advisor. This In-person position offers a competitive salary of $60,000-$70,000, depending on experience, and is an exciting opportunity for a highly organized, proactive professional who enjoys supporting a senior leader and playing an important role in the client experience. This individual will work closely with the Private Wealth Advisor to manage day-to-day administrative responsibilities, maintain the CRM, support client communications, assist with marketing and research initiatives, and help ensure the advisory practice operates efficiently. \n \nResponsibilities of the Executive Assistant:

- Oversee the Private Wealth Advisor’s daily schedule, including calendar management, meeting coordination, and inbox organization. \n
- Ensure the CRM remains accurate and up to date by documenting client interactions, recording meeting takeaways, assigning follow-up tasks, using AI tools to summarize important client insights, and supporting client segmentation efforts. \n
- Compile and prepare reports detailing outstanding tasks, client calls, and follow-up activity. \n
- Monitor and update the sales pipeline to ensure opportunity values, anticipated closing dates, and next steps are accurately reflected. \n
- Monitor team performance, activity levels, and sales outcomes to help maintain accountability and visibility. \n
- Use AI tools to develop engaging marketing concepts and materials, ensuring all content is submitted for the appropriate compliance review. \n
- Research current and prospective individual and business clients to identify relevant information, opportunities, and insights that support the advisory practice. \n
- Assist with assembling presentations, documents, and other materials needed for client meetings, while providing coverage when additional support is required. \n
- Handle a variety of administrative, organizational, and operational duties to support the Private Wealth Advisor and contribute to the overall effectiveness of the team. \n
Qualifications of the Executive Assistant:

- 3+ years of experience in a professional office setting. \n
- A Bachelor’s degree is not required. \n
- Excellent technology skills with the ability to produce polished marketing deliverables. \n
- Strong attention to detail with the ability to work with a high degree of accuracy. \n
- Critical thinking skills and an understanding of intent. \n
- Proactive and able to anticipate the needs of the Private Wealth Advisor. \n
- Excellent oral and written communication skills. \n
- Strong time management skills with the ability to determine priorities and meet deadlines. \n
- Excellent organizational skills and the ability to handle multiple projects at once. \n
- Confident, courteous, and persistent when engaging with clients and colleagues, within and outside the business. \n
- Proficiency with Microsoft Word, Excel and Outlook. \n
- Professional, proactive, and client-focused approach with the ability to work effectively in a wealth management environment. \n
