Sotheby's Institute of Art seeks an organized, proactive, and detail-oriented Careers and Alumni Coordinator to support the Career Services department in delivering exceptional programming, employer and alumni engagement, and student career development initiatives. This role is primarily focused on coordinating career-related events, managing communications with students and industry partners, and ensuring the seamless execution of career services programs that connect students with opportunities across the art world and creative industries.

The ideal candidate is a strong communicator with excellent project management skills, a customer-service mindset, and an interest in careers within the arts, culture, luxury, and creative sectors.

Key Responsibilities

• Coordinate logistics for career fairs, employer information sessions, networking events, panel discussions, workshops, and careers-focused programming.
• Manage event timelines, invitations, registrations, room bookings, catering, audiovisual needs, and day-of-event operations.
• Serve as the primary point of contact for employers and alumni participating in Career Services events.
• Prepare event materials including run-of-show documents, name badges, signage, presentations, and post-event communications.
• Track attendance and compile event metrics and feedback for reporting purposes.

• Draft and distribute student-facing communications, including newsletters, event promotions, internship and job announcements, and career resources.
• Create and maintain communication materials for employers, alumni, and industry partners.
• Manage Career Services content across internal platforms and collaborate with marketing teams to promote events and initiatives.
• Assist in developing LinkedIn posts, website content, and other communications highlighting student success stories and employer partnerships.
• Ensure timely and professional correspondence with students, alumni, employers, and faculty.

• Support the cultivation and maintenance of relationships with employers, alumni, and industry professionals.
• Coordinate employer participation in recruiting initiatives, networking events, and experiential learning opportunities.
• Maintain accurate records of employer contacts, partnerships, and engagement activities.
• Assist with employer outreach campaigns and follow-up communications.

• Serve as a first point of contact for student inquiries related to Career Services programming and resources.
• Assist with the administration of internship, work placement, and employer engagement programs.
• Support appointment scheduling, data tracking, and reporting within career services platforms.
• Maintain organized records, databases, and program documentation.
• Provide general administrative and operational support to ensure efficient departmental operations.

Qualifications

• Bachelor's degree required
• 25 years of experience in event planning, higher education administration, communications, employer relations, or a related field.
• Exceptional written and verbal communication skills.
• Strong organizational skills with the ability to manage multiple projects simultaneously.
• High attention to detail and commitment to delivering excellent client service.
• Proficiency in Microsoft Office, Google Workspace, and CRM/database systems.
• Experience coordinating events and working with external stakeholders preferred.
• Ability to report to the 570 Lexington Avenue campus at least 4 days per week, with flexibility to work additional hours, including evenings and weekends, as directed.
• Interest in the arts, culture, luxury, or creative industries is highly desirable.
• Must be legally authorized to work in the United States.

Salary Range and Benefits

$29 an hour/40 hours per week
