Administrative And Customer Service Assistant

Responsible for providing administrative and customer assistance within the NPS Department on all activities relating to professional and technical services. Support NPS management and work in a cross-functional collaborative manner with all respective departments. Keep NPS management updated as needed.

Requirements

Essential Functions And Key Areas Of Responsibility:

• Provide administrative assistance for NPS management, professional representatives and members including responding to phone and e-mail inquiries regarding equipment loans, technical information, repair services, and purchasing information.
• Provide customer service to members and ensure timely response to inquiries.
• Process and follow-up on loans of equipment to customers and maintain status in SAP.
• Enter, update and maintain member information and accounts in SAP.
• Coordinate and execute administrative tasks for NPS Department, such as overdue reviews.
• Assist with fulfillment houses, freight companies, and other outside vendors.
• Work with Repair Department and Warehouse to keep track and expedite equipment for members.
• Execute mailings and shipments
• Enter and code vendor bills in internal accounting software to ensure accurate and timely processing.
• Provide support to NPS Department Field Representatives.
• Monitor NPS customer voicemails and emails each day and update Salesforce if needed.

Ancillary Responsibilities:

• Prepare and maintain NPS Department mailing lists.
• All other duties as required or needed.

Knowledge, Skills & Abilities:

• 3 + years administrative and customer service experience
• High School Diploma
• A.A. preferred, but not required
• Word and Excel
• MS Outlook
• SAP
• Salesforce CRM system
• Strong administrative skills and ability to multi-task
• Strong data entry skills
• Excellent communication skills
