Proposal Production Specialist III

Job Description Perform advanced desktop publishing, graphic design, and document production to support high-visibility Request for Information (RFI), Request for Proposal (RFP), and Commercial Proposal submissions. This role serves as a senior technical contributor within the proposal development process, ensuring the delivery of accurate, compliant, and visually compelling proposal materials. The Specialist III also supports the Proposal Manager by coordinating key steps in the proposal workflow, maintaining records, and independently managing smaller proposal efforts. Job Profile Tasks/Responsibilities Lead the formatting, design, and production of complex proposal documents, presentations, and supporting materials using Adobe Creative Suite and Microsoft Office Suite. Ensure adherence to brand guidelines and maintain visual and stylistic consistency across all deliverables. Collaborate closely with proposal managers to interpret RFI/RFP requirements and ensure full compliance with submission specifications, including layout, structure, fonts, and file formats. Prepare and finalize files for print or digital submission, ensuring accuracy, quality control, and timely delivery. Diagnose and resolve advanced formatting and design challenges under tight deadlines, providing creative solutions. Maintain, refine, and expand the proposal template library to promote efficiency and consistency across the organization. Manage and update proposal templates, boilerplate content, and past performance records. Develop graphics, charts, visualizations, and other visual elements that enhance clarity and competitiveness within proposal responses. Assist the Proposal Manager with proposal schedules, task assignments, workflows, and key deadlines. Conduct compliance checks to validate that all RFI/RFP requirements are met. Independently manage assigned RFIs and smaller proposals from kickoff through submission. Organize and maintain records for all RFI/Proposal submissions, ensuring version control best practices. Maintain and continuously improve the Global Business Development (GBD) knowledge repository to support future proposal efforts Maintain professional demeanor and behavior at all times in all forms of communication. Perform other duties as assigned by manager. Job Profile Minimum Qualifications BA or BS degree in business, sciences, engineering, or a related field. Typically demonstrated by 5 plus years of experience in desktop publishing, graphic design, or proposal production; experience within a proposal or bids environment strongly preferred. Advanced proficiency in Adobe Creative Suite and Microsoft Office Suite. Exceptional attention to detail and commitment to producing accurate, visually engaging, and error-free materials. Proven ability to manage multiple deadlines, work under pressure, and adapt to shifting priorities.
