Job Description Summary:

The Research Operations Manager in Comprehensive Integrated Research Operations (CIRO) provides leadership and oversight for operational and administrative functions that support the institution's research enterprise. Working closely with departmental leadership, faculty, staff, and institutional partners, this position develops, implements, and continuously improves processes, systems, and resources that enable efficient research operations and support departmental and institutional research priorities.

Job Responsibilities

• Manage and oversee a team of Research Operations staff responsible for supporting departmental administrative, operational, and research support activities.

• Develop organizational staffing plans and ensure employees are appropriately recruited, onboarded, trained, supervised, and evaluated. Foster employee development and engagement while addressing performance concerns as needed.

• Serve as an operational partner to departmental leadership in planning, implementing, and advancing strategic initiatives that support the research mission. Develop, implement, maintain, and continuously improve administrative processes, workflows, standard operating procedures (SOPs), and operational resources, which may include SharePoint sites, training materials, reference guides, centralized documentation, and other tools that support research operations.

• Oversee and coordinate research operations functions, which may include faculty, staff, and student recruitment and onboarding; personnel actions; procurement and travel support; Workday training support; and other administrative activities that support departmental research programs.

• Manage departmental administrative resources and research support programs and partner with departmental leadership on budgeting, resource planning, operational decision-making, and implementation of departmental initiatives. Responsibilities may include oversight of internal funding programs, shared resources, operational systems, space and resource allocation, and other activities that support the research enterprise.

• Assist with providing strategic financial stewardship and fiscal oversight of departmental and institutional resources that advance the organization's research mission.

• Direct the management, monitoring, and monthly reconciliation of more than $40 million in internal funding commitments, ensuring accuracy, compliance, and responsible resource allocation.

• Develop and maintain research operational metrics, dashboards, reports, and analyses to support leadership decision-making, resource planning, process improvement, and evaluation of departmental initiatives.

• Serve as a primary operational liaison for faculty, research staff, trainees, institutional partners, and administrative offices, facilitating communication, coordination, and delivery of research support services.

• Evaluate operational effectiveness, identify opportunities for improvement, and recommend and execute solutions that support evolving departmental and organizational priorities.

• Ensure departmental policies, procedures, and activities are conducted in accordance with KUMC policies and applicable local, state, and federal laws and regulations.

• Lead or participate in special projects and perform other duties as assigned in support of departmental, institutional, and research enterprise priorities.

Required Qualifications

Work Experience:

• Eight (8) years of progressively responsible experience in research administration or research operations. Relevant education may be substituted for experience on a year-for-year basis.

• Experience supervising and managing personnel or teams.

• Experience managing projects, initiatives, or process improvement efforts.

Preferred Qualifications

Education: Master’s degree in a relevant field.

Work Experience:

• Two (2) years of experience working in higher education or a healthcare institution.

• Experience with business technology tools (e.g., REDCap, Canva, MS Project, Emma).

• Experience with procurement processes and vendor management preferred.

• Experience with budget development and financial oversight.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
