Sr. Operations Specialist - Ambulatory Operations and Space Management

Job Responsibilities Facilities/Operations- Direct daily space planning and utilization activities across ambulatory sites in collaboration with operational and clinical leadership, ensuring alignment with organizational priorities. Accreditation/Regulatory/Compliance- Policy/Procedure/ Development or Oversight. Identify & implement opportunities for improving cost and quality through in-depth analysis. Develop and implement policies and procedures for improved utilization, quality and operations. Ensure operations are efficient and cost effective. Resolve issues concerning staffing, utilization of facilities and equipment. Develop and interpret policies and procedures for staff and ensure that all policies conform with guidelines. Collaborate with operational and clinical leaders to resolve space constraints impacting provider scheduling, staffing models, and overall clinic operations. Oversee space request, review, and prioritization processes to ensure alignment with organizational and divisional goals. Maintain accurate and up-to-date space inventory data, including floor plans, room attributes, and utilization metrics. Financial/Budget- Develop, implement, evaluate and manage capital budgets. Develop and manage annual operating budgets or provide direction as needed. Implement and/or maintain a process for financial controls. Analyze and monitor financial performance and report financial results to stakeholders; evaluate variances, determine underlying causes and identify, present, and implement proposed solutions. Integrate the financial management and decision making across the department/division; establish and monitor productivity metrics. Accountable for compliance with organizational financial policies and procedures. Provide oversight in revenue cycle management, including: optimizing revenue, ensuring complete and accurate billing, monitoring associated charge capture; creating competitive pricing, developing/expanding programs; and monthly revenue reporting. Monitor budget expenditures; identify, evaluate, research and/or manage variances/problems. May work with vendor regarding functionality needs, coordinate implementation of new software and upgrades with IS, update processes and communicate changes to department and other stakeholders. May analyze, test and implement existing or new vendor software solutions that fulfill business needs or improve existing processes. Process/Quality Improvement- Identify, develop, and implement new methods, processes, and systems to improve and facilitate the team's work. Identify ways to improve data quality and usability and to streamline and enhance reporting processes and/or deliverables. Identify and recommend procedures to enhance or maintain a high level of effectiveness in daily operations. Project Mgt- Coordinate assigned projects including collaborating on project plans, budgets, and resource requirements. Track progress and prepare internal reports. Prepare documents to support project management and reporting. Prepare and distribute project communication to internal and external clients. Identify system and technology needs and act as liaison to ensure appropriate systems and reporting are maintained in support of project requirements. May provide some administrative support such as arranging meetings, developing agendas, preparing meeting materials, taking meeting minutes and preparing progress reports.
