Job Description

The Billing Specialist will work directly under the guidance of the Billing Manager and is responsible for assisting the billing department with daily and monthly tasks, as well as submitting all offline invoices. This role ensures compliance with client billing guidelines, addresses invoice issues, and works closely with attorneys, clients, and internal teams. The ideal candidate must have prior billing experience with strong organization and communication skills, and the ability to manage multiple priorities in a fast-paced environment.

*We offer a hybrid work environment (once training is completed) - in-office 2 days per week/work from home 3 days per week*

Duties & Responsibilities:

• Open new matters
• Review/perform attorney edits to prebills
• Process and submit a high volume of legal invoices via email.
• Manage emailed invoice submissions, rejections, and adjustments in accordance with client guidelines.
• Monitor multiple email inboxes and respond to various billing requests from attorneys and clients in a timely manner.
• Perform ad hoc requests as needed
• Maintain accurate billing records and ensure compliance with client requirements.
• Communicate effectively with attorneys, legal staff, clients, and outside vendors regarding billing matters.
• Collaborate with team members while also working independently to meet deadlines and billing objectives.

Experience and Education

• High School Diploma or equivalent
• Minimum of 2 years in a billing position, preferably at a law firm or professional service firm

Required Qualifications

• Proficiency in Microsoft Outlook and Word, Excel knowledge a plus
• Experience with billing processes and cycles .
• Proven experience processing a high volume of invoices .
• Exceptional organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Ability to multitask, prioritize responsibilities, and meet deadlines.
• Team-oriented mindset with the ability to work independently.
• Willingness to learn and adapt in a fast-paced environment.

Preferred Qualifications

• Familiarity with ABA UTBMS codes
• Strong Microsoft Excel skills
• Strong understanding of deductibles and retainers
