Employment Type: 12-Month Contract-to-Hire
Pay Rate: $24/hour (W-2)
Schedule: 1st Shift, 9/80A
Work Authorization: U.S. Citizen required

Position Overview

We are seeking a highly organized and proactive Senior Administrative Coordinator to support a department within a fast-paced engineering and technology environment. This role provides broad administrative, scheduling, reporting, onboarding, and operational support while serving as a key resource for internal employees and leadership.

Key Responsibilities

• Order department and program supplies and materials.
• Process visitor requests and visit registrations.
• Coordinate onboarding activities for new employees and subcontractors.
• Manage department and leadership calendars, including meeting scheduling and coordination.
• Plan and coordinate all-hands meetings, communications, and follow-up survey distribution.
• Prepare and submit expense reports.
• Collect inputs and prepare monthly department highlight reports.
• Enter data and generate reports using internal databases and business applications.
• Maintain department action-item trackers and proactively follow commitments through completion.
• Support employees in navigating company policies, security processes, and digital tools.
• Use mobile technology to support leadership and team productivity across office and travel locations.
• Provide clear, professional written and verbal communication.

Required Qualifications

• Associate degree, equivalent two-year post-high-school training, or comparable experience.
• At least 6 years of relevant administrative coordination experience.
• Proficiency with Microsoft Word, Excel, and PowerPoint.
• Experience scheduling meetings, booking travel, processing internal forms, coordinating visitor registrations, and ordering supplies.
• Strong written communication skills, including grammar, spelling, punctuation, and business writing.
• Authorization to work in the United States without current or future employer sponsorship.

Preferred Qualifications

• Advanced Microsoft Office skills, including advanced Excel functions and integrating Excel data into PowerPoint presentations.
• Experience managing internal and external SharePoint platforms.
• Strong attention to detail and ability to work independently with minimal supervision.
• Excellent organization, prioritization, multitasking, and follow-through skills.
• Strong interpersonal and customer-service skills.
• Ability to adapt effectively to changing priorities in a fast-paced environment.
• Collaborative, flexible approach to supporting a team and department leadership.
