Administrative Specialist

Overview:
The Administrative Specialist is responsible for overseeing and executing the company's daily administrative operations, ensuring an efficient and well-organized office environment. The role involves assisting cross-departmental communication and coordination, supporting the management team and business units with administrative needs, and serving as a key member of the company's operational support system. Key Responsibilities:- Manage office supplies, facilities, and vendor coordination
- Support meetings and company events
- Coordinate meeting room bookings and prepare for meetings
- Assist with contract and budget management
- Provide administrative support to leadership and departments
- Oversee office equipment and fixed asset registration and maintenance
- Handle mail and courier dispatch and registration
- Assist in maintaining and optimizing the office environment
- Arrange business travel for employees in accordance with company travel policies (flight, hotel, ground transportation booking, rescheduling, and cancellations)
- Perform other general administrative duties
- Bachelor's degree preferred
- 1-3 years administrative experience
- Proficient in Microsoft Office (Excel / Word / PowerPoint)
- Strong data organization and document management skills
- Excellent communication and coordination abilities
- Strong communication and organizational skills
- Experience in cross-departmental coordination
- Bilingual in Chinese and English (preferred)
