Finance & Compliance Assistant
Location: Houston, TX
Ellaway Blues Consulting is a people-first staffing and recruitment firm supporting clients across the energy, power, utilities, manufacturing, infrastructure, and industrial sectors. As we continue to grow, we are looking for a highly organized and detail-oriented Finance & Compliance Assistant to support our contractor payroll, invoicing, compliance, and back-office operations.
This is an excellent opportunity for someone who enjoys working in a fast-paced environment and wants to play a key role in supporting both our internal team and our contract workforce.
Position Summary
The Finance & Compliance Assistant will be responsible for supporting payroll processing, client invoicing, contractor onboarding and compliance, accounts receivable follow-up, and general administrative functions. This individual will work closely with operations, recruiters, contractors, clients, and leadership to ensure a smooth and efficient process from onboarding through invoicing and payroll.
Experience within the staffing, recruiting, or workforce solutions industry is highly preferred.
Key Responsibilities
Payroll & Contractor Support
- Process weekly contractor payroll and timesheets.
- Review and validate submitted timesheets for accuracy.
- Assist contractors with payroll, onboarding, and employment-related inquiries.
- Coordinate with payroll providers and internal stakeholders to resolve issues.
- Maintain accurate contractor records and documentation.
Invoicing & Accounts Receivable
- Generate and distribute client invoices.
- Reconcile approved timesheets against billing records.
- Monitor outstanding invoices and assist with collections efforts.
- Work directly with client AP departments to resolve billing discrepancies.
- Maintain accurate invoice tracking and reporting.
Compliance & Onboarding
- Manage contractor onboarding documentation.
- Ensure I-9, E-Verify, background checks, drug screens, and other compliance requirements are completed.
- Track insurance certificates, licenses, certifications, and client-specific requirements.
- Maintain compliance records within company systems.
- Support audits and compliance reviews as needed.
Administrative & Operations Support
- Assist leadership with reporting and operational projects.
- Maintain accurate records within ATS, CRM, and payroll systems.
- Support process improvements and documentation efforts.
- Provide general administrative support to the operations team.
Qualifications
- 2+ years of experience in payroll, invoicing, compliance, accounting, staffing operations, or administrative support.
- Experience within staffing, recruiting, workforce solutions, or contractor payroll environments strongly preferred.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities and deadlines simultaneously.
- Excellent communication and customer service skills.
- Proficiency with Microsoft Excel, Outlook, and other Microsoft Office applications.
- Experience with payroll systems, ATS platforms, or CRM systems is a plus.
