Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking an experienced Billing Specialist to join its Charlotte, NC office. This position supports the timely and accurate preparation of pre-bills, client invoices, and electronic bills in accordance with firm procedures and client billing guidelines. This entry-level role focuses on developing a strong understanding of law firm billing processes while contributing to efficient, accurate, and compliant billing operations.

What You’ll Do:

• Prepare, review and edit pre-bills, invoices, and e-bills using modern billing technology for assigned attorneys, teams, or as directed by the manager.
• Ensure timely submission and client acceptance.
• Resolve e-bill rejections due to missing matters, timekeepers, phase/task codes, or other discrepancies.
• Apply editorial review to all billing adjustments, transfers, and special billing scenarios while maintaining compliance with firm and client policies.
• Develop an understanding of client billing guidelines and ensure invoices comply with engagement agreements.
• Proactively identify and resolve basic billing discrepancies, errors, and e-billing issues to prevent delays in client payments.
• Assist with month-end and year-end billing activities, including prebill review and reconciliations.
• Perform other billing-related duties as assigned.

What We’re Looking For:

• Associate’s degree in business/accounting or equivalent work experience; bachelor’s degree preferred.
• 1-2+ years of experience in billing, preferably in a law firm or professional services firm.
• Must have good organizational and analytical skills, the ability to handle multiple demands, prioritize tasks and handle the pressure of meeting deadlines; with the ability to work in a team environment, as well as independently.
• Proficiency in Microsoft Office and experience with legal billing software (Elite, Aderant, 3E, BillBlast, or similar platforms) are preferred.

Physical Requirements:

• Frequent standing, walking, pushing, pulling, or moving objects
• Medium/Heavy lifting requirements up to 50lbs, exert force 10-25lbs.
• It requires the ability to communicate effectively using speech, vision, and hearing.
• The work requires the use of hands for simple grasping and fine manipulations.
• The work at times requires bending, squatting and reaching, with the ability to lift, carry, push or pull light weights, involving the use of carts, dollies and/or hand trucks.
