What You’ll Do The Closing Advocate supports the closing team as deals move from a fully executed contract to closing. You’ll own the title, lien release, and DMV work that keeps each deal on track, working closely with banks, DMV offices, Closing Advocates, and third-party vendors. Help Closing Advocates obtain titles and lien releases Prepare DMV work for the closing team and review completed DMV work to make sure it is accurate and filled out correctly Confirm all required documents are available before DMV work is submitted Make daily calls to banks to check the status of titles and lien releases within 5 business days Review all deals waiting on banks to make sure no title or lien release has been outstanding for more than 15 business days Print electronic titles once the lien release has been faxed to the DMV Drop off DMV work at the Sarasota Tax Office for processing, and track the status of all submitted work Review returned DMV documents to confirm title work was completed correctly, then prepare completion packets Support the closing team with duplicate title requests by contacting DMV offices for requirements, advising the team on what is needed, and sending documents to the correct DMV Send USCG paperwork by fax or email Notarize documents for the closing team when needed Assist the Closing Quality Control Admin with preparing completion packets Open incoming USPS mail, match titles and lien releases to the correct deal folder, update deal notes, and move each deal to the right stage (waiting on address confirmation, prepping S/B packet, or DMV prep) What We’re Looking For 2+ years of experience in Account Manager, sales operations, or titling Strong attention to detail, with the ability to review DMV paperwork, titles, and lien releases for accuracy and completeness Highly organized and able to manage a high volume of deals and documents at once while keeping tracking logs current Proactive follow-up skills, including daily calls to banks and DMV offices and flagging delays to the closing team or a manager before they become customer issues Professional, clear communication by phone and email with banks, DMV offices, vendors, and internal teams Thorough record keeping, with every call, email, and update logged in the deal notes Comfortable with technology: scanning, downloading, attaching, and organizing files, using Google products, and learning a new system Ability to work on-site and make regular drop-offs at the Sarasota Tax Office Flexibility to occasionally support time-sensitive deals outside standard M-F hours Bonus Points Active Florida Notary Public commission, or willingness to obtain one Experience with vehicle, RV, or boat title work, lien releases, or DMV/tax collector processing Familiarity with duplicate title requests and out-of-state DMV requirements Knowledge of USCG vessel documentation Background in a dealership, auto finance, title agency, or closing/escrow setting So come and join our team, because every role is a big role in our plans to go big.
