The Sales Coordinator is highly organized and customer focused. They will serve as a key liaison between our sales team and our guests. This role combines sales support, administrative coordination, and frontline hospitality, ensuring every guest interaction reflects exceptional service standards while supporting revenue growth. The ideal candidate excels at managing daily sales operations and creating a welcoming environment for walk-in visitors, fostering positive relationships and enhancing the overall guest experience. Key Responsibilities

Guest Experience

• Greet walk-in visitors warmly, learn what they need, and connect them with the right sales representative
• Maintain an atmosphere of quality, hospitality, and impeccable presentation from the moment guests arrive
• Check in scheduled appointments and manage the visitor log or sign-in process
• Use sound judgment with access control, ensuring only authorized visitors enter restricted areas.
• Offer refreshments and materials (brochures, community information) to guests

Communications and Reporting

• Email the member services manager and appropriate staff with tour details (guest names, tour times, and any special notes) following the established SOP, so the team is prepared before guests arrive
• Email the office manager with client information collected during the weekend (new visitors, lead details, follow-up needs) at end of each shift
• Answer and route incoming calls, take accurate messages, and respond to general inquiries following the established SOP
• Escalate customer/member concerns or complaints to the appropriate team member

Sales Support

• Use the CRM to look up client and input prospect information for the sales team as requested
• Provide links to digital assets (e.g., brochures, floor plans, videos, community information) to prospects and sales staff as requested
• Schedule and confirm appointments and tours
• Coordinate with sales staff on the day's schedule and notify them when their guests arrive

Office Operations

• Receive and send out mail and deliveries (FedEx, UPS, etc.) following the established SOP
• Set up and reset conference rooms or meeting spaces as needed
• Monitor and tidy refreshment areas, and keep the lobby, reception area, and common spaces clean and organized
• Coordinate with the culinary administrator on replenishing beverages and snacks, letting them know when supplies are running low so guest areas stay fully stocked
• Handle basic administrative tasks such as scanning, filing, copying, and emailing paperwork
• Open or close the office following the established SOP.

Qualifications

• High school diploma or equivalent
• 1+ year of experience in reception, customer service, hospitality, or an office setting
• Excellent verbal and written communication skills, including professional email
• Positive attitude, professional demeanor, and a warm, welcoming manner
• Proficiency with Microsoft Word, Excel, Dropbox and Google Workspace and email
• Strong problem-solving skills and the ability to handle guests with discretion
• Ability to work every weekend, with schedule flexibility, reliable attendance, and punctuality
• Ability to work independently with little on-site supervision

• Long hours may be required due to business demands.
• Ability to work in a team environment.
• Ability to stay calm and focused during the busiest of times.
• Ability to read, write, speak, and understand English; additional languages preferred.
• Primarily seated at a front desk, with some standing and walking
• Occasional lifting of up to [40] lbs. (supplies, deliveries)
• Weekend availability required; some holidays may be needed

The Company's good faith estimate of the hourly rate it expects to pay for this role is $20-$25 and is based on applicable and specialized experience and location.
